Job summary
We are looking for a Band 2 Administrative Assistant to provide a reception service and administrative support to the Community Mental Health Team at Chorley Health Centre.
The post holder will provide a comprehensive Reception/secretarial service to the Adult Chorley Community Mental Health Teams, coordinating their activities with other members of the Administration Teams in the network to ensure an efficient and confidential service is provided.
The role is challenging; however, you will be able to make a difference to service users who are in crisis or are receiving ongoing support from the trust.
The ability to work under pressure with limited supervision must be demonstrated as the role is very demanding.
A strong, proven background of customer service roles is a must, as you are the first point of contact to our service users and their support networks.
The successful applicant will require a flexible approach and the ability to work within a busy environment. They will also be expected to use their own initiative and work unsupervised to ensure the effective coordination of duties.
Main duties of the job
1. Be the first point of contact for the unit/department, greeting visitors and ensuring people sign in and are met by staff or directed to the right area as appropriate.
2. Answer telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgmental, and well-informed response.
3. Respond to queries, dealing with routine matters and passing more complex queries to the appropriate member of staff.
4. Receive, allocate and despatch departmental mail (internal and external).
5. Provide an administrative service to include typing of routine information such as reports, minutes, and other correspondence on behalf of the manager and other members of the team, ensuring a high standard in accordance with Trust standards.
6. Assist in running an efficient appointment system, dealing with routine referrals, sending patient letters/information, text reminders, and distributing to the appropriate clinical team.
7. Communicate with GPs and other Health Professionals regarding patients who have accessed the service, e.g., confirming receipt of referral, clarifying referral details, chasing biochemistry results or other diagnostics, and informing on waiting times or onward referrals.
