Proactively manage Fee Earner diaries, including scheduling meetings and appointments. Handle new client enquiries, initiate and complete the setup of new matters, and carry out all onboarding and due diligence procedures, such as ID verification and compliance with anti-money laundering regulations. Accurately transcribe, print, and process dictations in a timely manner. Efficiently organise, scan, and e-file documents within the Case Management System, while also maintaining up-to-date and well-ordered paper files. Oversee the monthly billing process, including the preparation and coordination of invoices, as well as the follow-up of outstanding payments. Process payment requests and record financial transactions, liaising with the Accounts Team as necessary. Manage the opening and archiving of both physical and digital client files. Respond to routine client correspondence and enquiries professionally and promptly. Greet and assist clients in person and over the telephone with confidence and excellent interpersonal skills, delivering a high standard of client care. Liaise effectively with third-party agencies, including Counsel, Courts, Experts, and other solicitors. Maintain strict confidentiality regarding all client and firm-related information and documentation. Demonstrate proficiency in Microsoft Word, Outlook, and Excel, and have experience using electronic Case Management Systems. Provide general administrative support to the Family Law Team and office as needed.
