Job Purpose Your primary responsibility is to support the efficient functioning of the People Team, helping create a positive and productive work environment, ensuring HR lifecycle processes are well-executed and continuously improved, supporting the growth and development of our team. Key Responsibilities Joiners: Responsible for producing offer letter and contracts for Support Centre and Logistics colleagues and ensuring signed copies are accurately filed on the colleagues record and Dayforce. Responsible for ensuring that all Support Centre & Logistics colleagues have the appropriate right to work documentation on record prior to employment and initiate the relevant checking process (online checks or physical checks) depending on their status. Conduct relevant reference checks for new starters as required by the business (role specific). Ensure all onboarding documentation is complete correctly and returned to us for filing on the colleague’s record. Managing and monitoring recruitment reward incentives. Movers & life cycle changes: Produce contractual changes and letters for group wide business. Be the primary contact for queries on the HR system, acting as a systems administrator and ensuring the central people database (Dayforce) is up-to-date and accurate. Responsible for updating and maintaining the central people system (Dayforce) with all changes to role, salary, location, line manager, filing, etc. Processing Internal people transfers and supporting recruitment for Autocentre and Retail colleagues. Produce secondment letters for all colleagues, making any relevant changes on Dayforce and maintaining the monthly reports to the business to end or extend secondments. Responsible for making Flexible Working changes in Dayforce and associated confirmation letters and/or contract changes. Support the internal TUPE activity from one legal entity to another, including generation and issuing of letters, updating of HR system Dayforce and holiday balances and liaising with relevant stakeholders and functions to ensure a seamless transition. Support with the processing and management of family friendly leave such as maternity, paternity, adoption leave and shared parental leave processes especially in relation to payroll changes, confirmation letters, and absence bookings and maintenance of the leave tracker. Leavers: Manage the leavers process for Support Centre and Logistics effectively and produce leaver letters. Calculation of Holiday Balances for colleagues across the business. Responsible for liaising with Payroll team to ensure any final payments are processed. Support Payroll with overpayments by drafting letter and setting up payment plans. Production of references for leavers. General Administration: Ownership and management of the People Shared Services inbox. Weekly & monthly reporting to support with BAU tasks. Collate, analyse, and publish weekly & monthly reports to support with both BAU tasks and to enable identification of trend analysis to support the wider People Team to address any areas of concern and or process improvements. Create and monitor weekly call and email data from the team, converting this into insights to effectively manage workloads. Conducting regular right to work audits / checks in the UK for the Group wide business to ensure legal compliance, including running regular expiring visa reports to ensure legal compliance. Supporting with collection of data for audits. Processing of Invoices for people team. Support the FCA accreditation process. Support with the processing of AWOL in line with SLA. Partner with the business to deliver a high quality, pro-active, and SLA compliant administration support on issues such as; absence management, redundancy, TUPE, probation, and flexible working, whilst ensuring consistency of decisions across the business; Provide managers and key stakeholders with a consistent and policy compliant administration service. This will be both face to face and remotely via telephone and Microsoft Teams; General administration and project work as required. Key Skills/Experience Ideally CIPD Level 3 qualified or working towards it. Hands on, can-do, flexible attitude. Good understanding of Microsoft Office Applications especially excel and word. Excellent organisational skills, ability to manage own workload effectively to meet deadlines, self-motivated, and able to work at pace and accuracy with good attention to detail; Experience of managing and prioritising own workload in a high volume, demanding environment with changing priorities including project work; Excellent communication skills, both verbal and written. Ability to step back and be pragmatic. Ability to create, present, interrogate and analyse data, trouble shoot, and problem solve. A continuous improvement mind-set - constantly looking for ways to better things. Able to work effectively in a team. Ability to work to tight deadlines and under pressure. Ability to work within a highly confidential environment with respect and integrity for the information that is managed discreetly and in accordance with GDPR regulations is essential.
