We are recruiting for a Personal Assistant to join our client and provide the Group Executive team with efficient and effective secretarial and administrative support, acting as a first point of contact providing a confidential and comprehensive service. Client Details Our client is a large not for profit organisation based in Walsall, seeking an experienced Personal Assistant to join their team on a 3 month fixed term contract. Description Proactively manage the Executive Directors' diaries, review diary commitments with both internal and external contacts, exercising a high level of judgement on priorities. Undertake proactive email management, ensuring that urgent emails are promptly picked up, responded to and actioned as appropriate. Ensure that appropriate arrangements are made for attendance at external events and meetings including booking travel and hotel accommodation. Understand the key roles, responsibilities and priorities of the Executive Directors, proactively building strong relationships with all internal and external contacts in order to provide a high level of support. Utilise a wide range of IT systems and in-house applications to update, review and produce reports, presentations and maintain databases. Deal with all correspondence for the Executive Directors, including sifting and prioritising; passing on incoming post and following up the responses where necessary. Complete filing and scanning of paperwork at regular intervals to ensure all files are up to date and accurate. Provide a courteous and helpful response to customer, councillor and MP enquiries ensuring they are dealt with effectively. Raise purchase orders and goods received on behalf of the Executive Directors and process their expenses. Ensure that relevant reports are prepared in a timely manner and are circulated and distributed as necessary. Profile A successful Personal Assistant should have: Experience of complex diary management Experience of managing multiple mailboxes The ability to use IT application packages such as Word, Excel and PowerPoint Excellent communication and interpersonal skills Ability to work under pressure and be flexible as part of a small team Excellent attention to detail The ability to maintain absolute confidentiality The ability to use tact and diplomacy An understanding of Data Protection principles Job Offer An estimated salary range of £30,000 - £35,000 per annum.
