We’re looking for a detail-oriented and proactive Project Coordinator to join our Bid Management Department. In this role, you will support the coordination and delivery of high-quality bid submissions, ensuring compliance with deadlines and client requirements. You will act as a vital link between teams, managing timelines, resources, and ensuring all elements of the bid process run smoothly. Assist in preparing, managing, and submitting bids, ensuring all deadlines are met and proposals are compliant with client requirements. Work closely with subject matter experts, writers, and data analysts to gather inputs and align contributions for each bid. Develop timelines, action plans, and schedules for bid submissions, tracking progress and addressing potential delays. Organise and maintain bid-related documents, ensuring accuracy and consistency across submissions. Review submissions to ensure all required information is included and adheres to tender specifications. Liaise with internal and external stakeholders to gather information, clarify requirements, and ensure seamless communication throughout the bid process. Identify potential challenges and implement solutions to keep projects on track. Prepare regular updates on bid progress, successes, and areas for improvement. Support the development and upkeep of a bid library, including templates, case studies, and other reusable content. Identify and implement process improvements to streamline bid activities and enhance overall efficiency Requirements Strong project management and coordination skills. Excellent organisational and time management abilities. Strong communication and interpersonal skills to engage with diverse stakeholders. Experience using project management tools and software is desirable Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools. A proactive approach to problem-solving and attention to detail. A proactive approach to problem-solving and adaptability to changing priorities. Previous experience in a similar role handling multiple projects simultaneously Familiarity with monitoring and evaluating project impact. Knowledge of procurement processes, public sector contracts, or frameworks is desirable. Familiarity with bid writing or editing is desirable. Understanding of PQQs (Pre-Qualification Questionnaires) and ITTs (Invitations to Tender) is desirable. A degree or equivalent experience in business, project management, or a related field Relevant certifications e.g., APMP, PRINCE2 are essential.
