Description/Job Summary The Billing Supervisor is responsible for supervising and overseeing the daily activity of a team of Billing Coordinators. This role also performs Billing Coordinator duties for assigned partners. Responsibilities/Duties Supervise and train a team of Billing Coordinators; manage all day-to-day activities to ensure accurate and timely work product; assign, direct and monitor all work in progress, assign tasks and projects, oversee processes, address issues and provide resolution when needed Participate in interview and staff performance process, make recommendations regarding evaluations, administer disciplinary action consistent with Firm policy escalating as appropriate Ensure staff follows standard operating procedures, taking appropriate action when performance does not meet targets and objectives Review and maintain client fee structures, rate changes, special billing requests and invoices to determine compliance with Firm policies and procedures Draft bills, ensure time and disbursements are billed accordingly, finalize drafts and perform other billing coordinator duties for assigned Partners Act as a resource for others in the research and resolution of complex and/or escalated billing questions and discrepancies providing direction to issue client resolution When required attend Partner meetings with Billing Coordinators to discuss outstanding invoices and strategy for collections; Review and update comments for reports distributed to the Finance Committee and Partners Participate in weekly management meetings to discuss billing issues and ongoing projects, and to provide information and recommendations to assist with resolution of related issues Generate, review, analyze and report on monthly, quarterly and yearly data as requested by Partners Work on special assignments and analysis as needed Perform other duties as assigned Conducting a regular review of Work In Progress (WIP) and Accounts receivable (AR) for your groups and arranging review meetings Regular analysis and maintenance of client/matter data; and Taking a lead role with special projects as needed. Required Skills 1 to 2 years of supervisory experience preferred Minimum of eight years plus in a large law firm required including exposure to VAT and disbursements; Ability to track, measure and manage performance Must be able to effectively coach, mentor and train others to meet performance expectations Flexibility to adapt to all work situations and work varied hours Knowledge of Solicitors Accounts Rules; An understanding or experience of billing in a foreign currency and associated issues Proficiency in MS Office Suite, particularly in Excel; High level of proficiency with Elite 3E required; Can organize, prioritize, plan and multi-task work activities, with the ability to effectively meet deadlines in a high pressure environment Excellent analytical and problem solving skills Meet and discuss team requirements regularly with London management; Mentor and train new Billing Coordinators as directed; Capable of organizing cover of other members work when they are absent; and Be able to guide and share knowledge of working practices with the team.
