Position Purpose: To assist the AB Carval Senior Executive Assistant/Office Manager in providing support to the AB CarVal team based in London, Luxembourg, Portugal London is a team of around 60 people with very widely varying requirements. Assist with provision of executive assistant support as required. Work will be directed by the Senior Executive Assistant/Office Manager Book travel arrangements for domestic and international (flights, hotels) through the Concur travel system and dedicated travel agency. Assist with any visa requirements Book taxis, car hire and airport transfers Organise and coordinate meetings and conference calls. Send invites, reserve locations and determine specific needs for in person meetings. Order food as appropriate. Monitor, update and create appointments and invitations using Outlook and Zoom. Book internal meeting rooms, ensure smooth client journey for visitors Answer AB CarVal main phone line. Respond to voicemails as needed. Receive, screen and direct phone calls Prepare and reconcile expenses on an ongoing and timely manner for senior team members through the Concur expense management system. Co-ordinate restaurants bookings Type/reformat letters Document preparation. Create, print, bind and scan written materials as requested. Scan business cards and maintain contacts database Deal with any other ad hoc requests Assist with event planning, parties, in-house socials and offsite conferences Order stationery and supplies General housekeeping; assist with keeping the office and kitchen tidy Distribute mail to individual desks Deal with courier requests Follow established procedures to ensure consistent processes and record keeping Knowledge and Skills requirements Ability to prioritise tasks and to meet multiple deadlines Able to demonstrate initiative and attention to detail Calm, self-motivated with the ability to work under pressure Excellent communication skills at all levels both within the organisation and externally Flexible, customer focused approach Able to stay late occasionally to complete priority tasks Good organisational skills Proficient in Microsoft Office applications: Outlook, Word, Excel, PowerPoint Team player with a positive and engaged attitude High learning agility and willingness to take on new activities Able to touch type at speed Familiar with Concur (or similar expense management system) – preferred Familiar with the travel booking process Willing and engaged to assist with routine tasks Contribute to special projects as required London, UK
