Our client is seeking a Conveyancing Assistant to join their busy team in their Northampton office. Working alongside an experienced fee earner in a busy conveyancing environment assisting on a varied caseload including freehold/leasehold sales & purchase, re-mortgage, transfers of equity, right to buy and shared ownership schemes.
Responsibilities include, but are not limited to:
1. Dealing with queries raised by clients, solicitors, lenders and estate agents, whether face to face, by telephone or by email.
2. Making detailed attendance notes of all correspondence.
3. Opening and closing files on our CMS.
4. Taking Client instructions, carry out AML checks, source of funds and gifts checks etc.
5. Ensuring files on CMS are updated with all correspondence.
6. Applying GDPR and SRA regulations, following Lexcel and firm procedures.
7. Providing administrative support (including photocopying and scanning etc).
8. Preparing quotes to clients.
9. Drafting completion statements.
10. Requesting mortgage redemption figures and mortgage advances.
11. Assisting Fee Earner in preparing report on title, report on mortgage and search report for clients.
12. Issuing sale contracts.
13. Replying to sales enquiries on freehold and leasehold properties.
14. Ordering searches online.
15. Setting up completions.
16. Post completion admin (Drafting AP1s, using Land Registry portal to submit registration applications, replying to requisitions, generating Stamp Duty Land Tax calculations and submitting applications).
17. Preparing and submitting invoices, receipts and payments to the finance team.
18. Occasional reception cover.
Requirements for this role include:
1. A previous background in a conveyancing department.
2. Proficiency in English and good numerical accuracy.
3. Excellent administrative and organisational skills.
4. Ability to manage multiple activities and work under pressure.
5. A positive, professional and approachable demeanour.
6. Excellent work ethic and attention to detail.
7. Good IT skills; knowledge of a Case Management System and excellent keyboard skills.
8. Outstanding communication.
