An exciting opportunity to join a well-established and highly regarded London-based international membership organisation. Joining a small & dedicated team, you will be responsible for the end-to-end delivery of a large programme of international training and events. With at least 4 years’ experience of managing multiple events, you will be highly organised, a good team player, confident & adaptable to the diverse needs of a global events programme and small organisation.
Gafta runs anywhere between 20 – 40 training courses, committee meetings, networking and other events throughout the year. Most events are smaller, with numbers between 15 – 45, however a few are larger, including the Annual Dinner which attracts 450 – 500 each year. The ideal candidate will be adept at ‘plate spinning’, a great communicator and bring ideas for streamlining processes to the table.
Reporting to: Head of Training and Events
Working hours: Full time, in-office role, Monday – Friday, 0900 – 1700. Generally core office hours are fixed, but there may be some flexibility on negotiation. Opportunity to work 1 x day from home after probationary period (6 months) has passed. The role will involve occasional evening/weekend work and international travel.
The ideal candidate will have:
* 4+ years’ experience at Event Manager (or equivalent) level
* Experience of managing large-scale formal dinners
* Experience of managing multiple events at once
* Experience of delivering events via Zoom
* High level of organisation & attention to detail
* Ability to plan, prioritise & deliver to tight deadlines
* High level of IT competence
* Experience of managing budgets
* Flexible, positive and team-centred attitude
* Willingness to travel including some evening/weekend work.
* Experience of working in a membership organisation is highly desirable
Responsibilities:
* Manage all end-to-end event logistics for all Gafta training and on a global basis. (Examples: Annual Dinner, training courses, Arbitrator events, Council, all committees & other meetings and live online webinars.) Includes: Venue selection & site checks, negotiating contracts, finalising menus & AV equipment, sponsor/exhibitor liaison, liaising with design agency & other suppliers, production of course materials & production items, travel and accommodation arrangements, managing budgets, processing feedback.
* Manage all aspects of the Gafta Annual Dinner Includes: Site visits and venue selection, budget, menu negotiation and selection, sourcing external suppliers including entertainment and production, guest list management, sponsorship sales and liaison, production of materials, travel and accommodation arrangements.
* Manage all sponsorship sales, relationship management and administration.
* Manage all speaker communications and logistics.
* Organise all aspects of Gafta committee meetings, including venues, travel, accommodation and materials.
* Organise the registration, travel and accommodation for Gafta staff attending external conferences, training and events. Liaise with the Executive Assistant regarding arrangements for the Director General & President’s travel and accommodation.
* Work with Head of Training & Events & Accountant to manage event budgets from creation through to reconciliation.
* Work with Marketing role to provide full & timely information for promotional materials, including Gaftaworld.
* Attend events and training courses as agreed with the Head of Training and Events to provide logistical and administrative support.
* Supporting on proposals and delivery of event & training-related agreements.
* Manage and coordinate attendee, delegate, student & other communication relating to the events & training encompassed within the role.
* Assist with bookings & other event-related tasks where appropriate.
