Job overview
An exciting opportunity has arisen to work within the Clinical Education Scheduling team as a Scheduling Assistant. The purpose of this role is to undertake the Clinical Scheduling within the designated areas in relation to the agreed standards. To ensure the delivery of Clinical Scheduling is of the highest quality within agreed policies and procedures; and to assist whilst on shift for coordinating an effective Clinical Scheduling function in liaison with the Scheduling Officers, Student Paramedics & Local Scheduling Teams. To work with all relevant SECAmb departments to ensure the effective delivery of service is maintained.

Main duties of the job
The role of the Scheduling Assistant within the Clinical Education Department will be to perform scheduling duties and to allocate the placement shifts of direct entry student paramedics on a Higher Education degree programme with one of SECAmb’s partner universities. This will include allocating student placements with Practice Educators on frontline operational shifts, ensuring a fair distribution and mix of shifts amongst all students and working closely with the Practice Education Leads within the Clinical Education team. You will need good communication skills to liaise with multiple department colleagues within the organisation on various aspects of scheduling. You will work within the scheduling team in order to manage abstractions at a local level for student paramedics. You will be a motivated individual who is able to work independently as well as being part of a team. You will have good IT skills. Knowledge of the (GRS) Global Rostering System would be beneficial however full training will be provided.

To maximise placement capacity and bring the process into line with other ambulance services, an exciting part time opportunity has arisen for a scheduling assistant to work alongside the Scheduling and Clinical Education teams to provide placement allocation for these students and scheduling support to the department.

Detailed job description and main responsibilities
* Undertake all administrative functions required to assist the Scheduling Officer and Clinical Education Managers to manage the student shifts for paramedic students in line with agreed policies.
* Participate in all processes of Sickness Absence Management as necessary within the Clinical Education Department, which relate directly to the management of operational and student shift rotas.
* Ensure that within your area of responsibility the SECAmb Sickness Absence policy is followed in relation to the Clinical Scheduling department, liaising with the Scheduling Officer and Clinical Education Manager as required.
* Facilitate all authorized Abstractions for the rotas under your responsibility. Bring any areas of concern to the attention of the on duty Scheduling Officer and/or Clinical Education Manager.
* Assist the Scheduling Officer and Clinical Education Manager to co-ordinate the Training/Education function relating to student paramedics and clinical education staff. Record all abstractions due to Training/Education in the appropriate way.
* Undertake all duties as required by the Scheduling Officer and Clinical Education Manager to ensure that records held are valid and up-to-date.
* Undertake as required such tasks to ensure the GRS Database is maintained under the direction of the Scheduling Officer and Clinical Education Manager.
