CLIENT SERVICES OFFICER (WILTHORPE)
Reporting to: Senior Administrative and Financial Officer
Overall Responsibility to: Operations Manager
Aims:
1. To ensure that the reception/switchboard service to The Business Village tenants, visitors and staff is maintained professionally and in line with The Business Village Customer Service Standards.
2. To assist in providing an efficient and effective admin support service to The Business Village tenants and management team to ensure quality project support and client services are maintained.
Skills Required:
1. Excellent communication skills, both written and oral
2. Previous reception experience essential
3. Previous clerical/admin experience essential
4. Excellent customer service skills
5. Good working knowledge of all MS Office applications including Outlook
6. Experience of working with CRM and management information systems
7. Previous knowledge/experience of working with Xero accounting system (preferable)
Main Responsibilities and Duties:
1. To promote excellent customer service throughout the centre in line with The Business Village Customer Service Standards.
2. To provide an effective and professional reception/switchboard service to The Business Village tenants, staff and visitors and ensure that the reception area consistently conveys a professional image, in line with The Business Village Customer Service Standards.
3. To provide an efficient and effective support service to The Business Village tenants and management team.
4. To ensure that deadlines are met, and order of work priority is maintained.
5. Responsible for accurate recording and maintenance of The Business Village tenant, suppliers and intermediary information on all CRM and internal management information systems.
6. Responsible for taking room hire bookings, and to ensure the smooth running of The Business Village meeting room hire and associated facilities, i.e., refreshments and catering.
7. Responsible for The Business Village incoming/outgoing postal service and to ensure an efficient service is consistently maintained with good knowledge of the services Royal Mail offer.
8. To maintain accurate records of services provided to The Business Village tenants and external clients using the Xero accounting system for recharging purposes and providing monthly recharge information to the Management Accountant.
9. To order stationery and consumables where required, ensuring stocks are maintained at adequate levels.
10. To continually promote Central Services to The Business Village tenants and other appropriate potential users.
11. To monitor customer satisfaction and overall awareness of Central Services.
12. To assist the Senior Administrative and Financial Officer in the efficient operation and development of Central Services.
13. To perform other duties as may be required from time to time and are commensurate with the position.
Working Hours:
1. 37.5 hours per week
2. 8.30am-5.00pm, 5 days per week (Monday to Friday)
