Job summary The purpose of the Assistant Project Officer role is to provide an efficient and effective professional support to the project management teams and all programme/project members with regards to the project tasks for the programme management function. This role is seen as the stepping stone for a developing career in project management. Main duties of the job Assist with the compilation of records using a variety of software packages including Microsoft Word, Access, Excel, PowerPoint or Visio as required To receive incoming internal and external telephone calls and enquiries for the project teams, dealing with these direct Arrange and co-ordinate meetings including taking meeting notes where required, and assist in follow up actions arising from the meeting. Arranging conference calls including venue selection and invitations maintaining accurate financial expenditure records Interface with a wide variety of appropriate stakeholders, communicating programme, project material To set up the Quality audit component of the projects and office functions High level administration of strategic Programme and Project board meetings. Including attending meetings and taking minutes, and circulating such documentation as appropriate Monitoring project progress and process in relation to the Key Event Schedule Input data to information systems as required Assist Capital Planning Managers in identifying furniture and equipment required for Capital schemes and liaise with procurement to ensure the furniture and equipment lists are kept up to date Liaise with other Project Managers to ensure that furniture and equipment is ordered and delivered in accordance with the Trust's requirements Place orders as necessary and ensure timely delivery Liaise with procurement to ensure any faulty or incorrect items are returned or replaced.
