Our client, a leading live-booking agency, is seeking an Assistant to a Senior Agent in the electronic music genre. The ideal candidate will have a passion for club culture and have exceptional organisational and planning skills.
Key responsibilities will include:
1. Using bespoke contracting software to raise, proofread and issue large volumes of contracts.
2. Issuing and chasing Promoter and Artist Terms of Business.
3. Chasing signed contracts and dealing with requested amendments.
4. Handling tax reduction opportunities through splitting contracts/invoices.
5. Checking invoices match contractual requirements.
6. Chasing and managing show payments, tax deductions, and VAT etc.
7. Requesting invoices from Artists/Management and ensuring they are consistent with agreed conditions.
8. Gaining an understanding of tax documents to reduce performance tax, VAT numbers from Promoters where applicable, and obtaining documents where needed.
9. Insuring show commissions for shows.
10. Updating and overseeing database records.
11. Maintaining a digital filing system to ensure paperwork is easily accessible.
12. Inputting bookings into the central company diary and maintaining datesheets.
13. Logging ticket sales and sending reports.
14. Updating the company’s website and Artist pages with tour dates, biographies, photos and ensuring all details are accurate and up to date.
15. Raising applications for Artist UK work permits and overseeing the visa application process.
16. Liaising extensively with performing Artists to ensure requirements are met.
17. Supporting with the general office needs such as answering telephone calls and occasional reception cover.
Requirements:
1. Experience with touring Artists (essential).
2. Experience issuing and checking live performance Artist contracts (essential).
3. Knowledge of performance tax and VAT, and experience chasing payments (essential).
4. Interest in club culture and DJs (essential).
5. Competence with logistical planning (essential).
6. Able to liaise with Clients, Managers, and Artists at all levels (essential).
7. Effective working in a small team and communicate consistently (essential).
8. Able to maintain digital organisation and database record keeping to a high standard (essential).
9. Exceptional time management skills, able to keep pace in a dynamic environment (essential).
10. Strong administrative capabilities (essential).
11. Proficient user of Mac computers and Apple Mail is desirable.
12. Competency for Microsoft Excel and Word is desirable.
13. Knowledge of online productivity tools such as Google Drive/Docs/Sheets and Dropbox (essential).
