We are looking for a motivated individual with considerable experience of working in a Senior Administrative Role to join us as a Senior Business Support Officer; the role is responsible for providing high quality and direct administrative support to the Director of AHPS and the Senior AHP Professional Leadership Team.
This role will be a hybrid role based at St George's Hospital in Stafford but will have the flexibility to work remotely (when suitable).
Main duties of the job
The post holder will provide senior administrative support to the Director of AHPs and the Senior AHP Professional Leadership Team to ensure effectiveness and efficiency of the team. This includes:
* Providing a high quality direct administrative support service.
* Managing diaries, phone calls and initiating/actioning correspondence and emails on behalf of the Director of AHPs and the senior team.
* Working with a variety of systems, such as Health Roster, E-Proc, Trac - completing processes as required by the team.
* Servicing of meetings up to a high level within the organisation- Including drafting agendas, collating, producing and circulating documentation, production of reports, production of formal minutes and progress chasing.
* Leading projects and initiatives for the directorate.

Job responsibilities
* Work on own initiative with minimal supervision to prioritise and deliver own work and that of the Director of AHPs in meeting organisational objectives.
* Takes lead responsibility for facilitation of multi-organisational governance arrangements at Board level entailing high level communication and planning skills.
* Advanced use of Microsoft Outlook to manage the electronic diaries of the Director of AHPs.
* Arrange appropriate representation at meetings for the Director of AHPs.
* Advanced use of Microsoft Office 365 applications e.g. Teams, Stream and Forms to facilitate team and individual level communications and meetings, including the promotion of new functionality to users.
* Manage the diaries of the Director of AHPs and AHP Professional leadership team to coordinate team activities.
* Monitor the email inbox of the Director of AHPs and action/respond to emails, enquiries and requests for information within agreed remit.
* Arrange and service multi-organisational governance meetings at Board level including drafting agendas, collating and circulating documentation, the production of formal minutes and progress chasing. Arrange and coordinate multi-organisational briefings, workshops, away-days and events including the selection of venue, provision of all equipment and required attendee availability.
* Provide cross cover within the Business Support Team to ensure a seamless service.
* Act as a liaison point between staff, Customers, Senior Management Team and the Directorate Senior Management Team.
* Collate/draft and issue all recipients emails within the Directorate and ensure that staff are kept informed of any issues which may affect them.
* Assist in the distribution of IT Equipment, building fobs as required for the Directorate.
* Facilitate Corporate Social Responsibility activities including monthly and ad hoc charitable events, and publicise participation in external communications.
Undertake audits as required.
* Understand the business aims of the AHP Professional leadership team and the impact of service delivery.
* Maintain a broad and up-to-date knowledge of administrative, office management and ICT systems, equipment and procedures, undertaking a variety of forms of training where necessary. This should include best use of IT applications (both general and directorate specific), project management skills, managerial skills, health and safety and personnel.
Complete mandatory HR documentation and electronic processes for staff changes within the senior management team (starters, variation to contract, termination etc.)
Undertake recruitment and selection processes for roles at head of service and service lead level, utilising NHS Jobs as a recruiting manager.
Induct new staff on health, safety, security and general policies and working conditions within the senior management team.
Maintain personnel files for AHP Professional leadership team.
Provide advice and training on directorate-wide and departmental policies within own area.
