We have an exciting opportunity for a Team Administrator to join our Eating Disorder Service based in South Kensington & Chelsea.
The Eating Disorder Service offers a range of specialist services to women, men, children and young people who are suffering from anorexia nervosa, bulimia nervosa and other eating disorders. The service provides a various range of treatments including assessment and community, outpatient therapy, day programme services and inpatient care across different sites.
We are looking for an enthusiastic and motivated Team Administrator to provide an important administrative service and ensure the smooth running of our very busy and dynamic team in ARC Day Programme and CYP CEDS. The role comes with a variety of responsibilities providing support to the clinical team, service users, and patients and carers who attend the service.
The EDS team is a strong and supportive team and has excellent structures to offer regular supervision. The post holder will be based on-site and will be involved in providing a full range of administrative duties to support the delivery of a high-quality service by the EDS Team. You will need to develop an understanding of the objectives of the programme and support the team in carrying out their duties effectively.
This will range from communicating with patients and their families/carers, arranging appointments and other administrative duties. The post holder will be required to work closely with a range of corporate CNWL Trust teams in supporting the service. You will require good communication and IT skills and a comprehensive working knowledge of the use of Microsoft Office software.
Responsibilities include:
1. Inputting, outgoing & closing referrals, contacting patients, arranging and booking appointments.
2. POD registration, answering general queries, and directing them to correct teams.
3. Formatting & finalising letters, SARC requests, minute taking, taxi booking, interpreter booking.
4. Assisting in local admin inductions, stationery orders, and other tasks for supporting and implementing administrative processes ensuring that the service runs effectively & efficiently.
5. Taking initiative in prioritising your own and helping with the team’s workload.
6. Ensuring that the service objectives and deadlines are met.
7. Working independently, using discretion, judgement, and critical analysis where appropriate.
8. Providing cross cover for SKC Adult EDS Site, Roxborough Road site, and Children and Young People Eating Disorder Service during periods of staff absence.
9. Acting as the first point of contact for the service, accommodating and guiding our service users and visitors to the correct team.
10. Handling telephone and email enquiries from external bodies, Trust staff, clinicians, service users, and relatives.
11. Reporting any incidents on DATIX and escalating to management as soon as possible.
12. Ensuring effective communication within the team.
13. Prioritising own workload according to service needs and effectively managing conflicting priorities.
14. Inputting data to electronic database system/s and using databases as required in line with Trust procedures and protocols.
15. Maintaining filing systems to a high standard and ensuring confidentiality and security.
16. Ensuring the maintenance of adequate stock levels of stationery and other equipment.
17. Acting as secretary at meetings, taking and distributing minutes as appropriate.
18. Arranging meeting and training events for the team as required.
19. Maintaining a team diary for staff, ensuring their location is known at all times.
20. Maintaining a diary of activities and/or room bookings to facilitate effective use of resources.
21. Liaising with the IT Department and other services for any issues that may occur within the service.
22. Developing and maintaining an updated internal and external contact list.
23. Assisting in the local admin induction of new or temporary staff to the team.
24. Understanding health and safety and fire regulations and assisting in maintaining a safe environment.
25. Liaising with domestic services staff to ensure the environment is kept clean.
26. Entering required data into the Trust’s patient administration systems.
27. Using computer and software to prepare reports, presentations, and documents relevant to working duties.
