Staffline is recruiting candidates to work as an Administrator with our client - A leading dairy produce manufacturer in Telford. The rate of pay is £25,000 - £28,000 per annum. This is a full-time role working Monday to Friday and the hours of work are: - 9am to 5pm - 8.30am to 4.30pm Your Time at Work Job Purpose - To assist and provide admin support to the Operations Team. The post holder will be able to work quickly, efficiently and under pressure whilst being accurate, the role will require attention to detail. This post will need to be able to work flexibly and manage multiple tasks simultaneously. Other responsibilities include: - Administration - Compiling agendas and documentation for meetings and distributing to attendees. - Attend and minute Operations Management Team meetings as and when required and follow up actions accordingly - Compilation and submission of monthly reports, as necessary - General office management e.g. filing, photocopying, destroying of confidential information, document archiving, stationary orders, replenishment, and relevant invoicing - Implementing and maintaining efficient digital filing systems - Updating the site notice boards - Supporting with preparation and logistics of Technical and external audits - Organisation of meetings, coordinating meeting room bookings and refreshments and ensuring facility requirements are met for both internal team and external suppliers - Archive documents and retrieve them when required - Involvement in Corporate and Social related initiatives - Diary Management for Head of Operations - Managing the annual holiday planner for the Operations Management Team - Updating time and attendance records for Operations Management Team in the software system - Handling telephone calls and fielding general inquiries, connecting people to the right team members' onsite - Ad hoc support requests for the operations leadership team - Taking the lead on coordinating internal and external visits, ensuring everything runs smoothly - Acting as a point of contact, maintain a knowledge of company systems and processes to support fielding queries of support Our Perfect Worker - Financial responsibilities - Responsible for the management of invoices - Using SAP to raise Purchase Requisition and Purchase Orders to complete the payment process and liaising with suppliers in respect of queries - Control minor expenditure ad hoc items and tail end spend which supports the effective and efficient operation of the site team Communication: - Is the facilitation link between corporate and operational communications at site which are required to be cascaded to site employees - Supports company initiatives in areas of Wellbeing, DE I, Engagement - Ensures fast and effective feedback is passed between employee and management to maintain engagement on key topics Requirements: - Essential Specialist/Technical skills: Numerate and literate to a high standard with advanced ability in Microsoft Office Suite Applications - The ability to work confidentially, accurately and diligently with a consistently high level of literacy and numeracy - Ability to multitask, plan and priorities own workload whilst working in a busy, pressurised environment - Desirable Specialist: Microsoft Office, SAP Soft Skills: - Experience working in a busy environment, supporting a high variety of admin tasks requiring a flexible approach - Able to build relationships and communicate effectively al all levels, comfortable in a factory floor environment - Able to create simple, engaging, and informative content for notice boards, newsletters, and screens using a good standard of written English and a creative approach to communication - People-focused, full of energy, and comfortable working at all levels from the factory floor to leadership team.
