Job Title: Facilities Administrator Location: Newbridge Salary: £28,000 Job Type: Full-time, Office-Based, 6 Months FTC Working Hours: 37.5Hrs - Monday to Friday 9:00 AM - 5:30 PM Role Overview: This position is responsible for organising and supporting the Centre Management office efficiently and cost-effectively while providing administrative assistance to the management team. Key Responsibilities: • Manage and maintain manual and digital data systems, including filing and archiving. • Provide secretarial support to the Centre Management team, ensuring all documents adhere to company standards for formatting and presentation. • Oversee orders, payments, and invoicing using the company’s accounting system and Purchase Ordering Management System (POMS), ensuring timely processing. • Assist the General Manager in monitoring expenditures. • Implement and manage information systems, including the Centre’s SharePoint site. • Support the Centre Management team with tenant liaison, record-keeping, and general administration. • Prepare reports as required. • Ensure compliance with all Managing Agent quality assurance and health & safety procedures. • Assist in the administration of promotional events and activities, including tracking payments and sending required correspondence in line with company procedures. • Handle visitor inquiries and general queries at the Management Suite and Customer Service Desk. • Administer conference room bookings. • Perform any other reasonable duties as assigned by the line manager or management team. Requirements: • Proficiency in Microsoft Office Suite. • Familiarity with accounting/financial software. • Health & safety qualification. • Experience in accounts, office organisation, and customer service. • Previous experience with reception, switchboard operation, and cash handling. • Ability to work both independently and collaboratively within a team. • Highly organised with excellent time management. • Strong numerical aptitude and accuracy. • Positive, outgoing personality with good interpersonal skills. • Flexible and able to meet strict deadlines.
