The role:
You will be responsible for a complex suite of accounts payable ledgers and ensuring the payment of invoices and expenses to a strict timetable. You will enjoy a challenge and be responsible for reconciliations and a service-led offering to a varied professional services group. It’s a constantly improving environment and you will lead change management and continual improvement within the team.
You will be joining us at an exciting time taking the lead on the planning and implementation of a new Disbursement/Expenses system.
This role would suit someone who enjoys a constantly changing and challenging environment, loves process improvement and has a can-do attitude.
What you will be doing:
Responsible for the end-to-end AP process:
* Proactively manage the creditors ledger with a focus on minimising ageing and ensure timely and accurate processing of invoices, disbursements, payments and expenses.
* Ensure prompt investigations with corrective actions being put in place wherever AP issues arise.
* Ensuring that correct coding is in place to ensure that accounting information is correct and reliable for accurate financial analysis and reporting.
* Liaise with Financial Controller /Director of Finance to actively manage cashflow requirements.
* Ensuring all corporate card and employee expense processing is completed on time and in line with internal policies.
* Liaise with Auditors and support the financial accounting team with the statutory audit process.
Reconciliation and Reporting:
* Ensure accurate and timely reconciliation of supplier statements to AP Ledger.
* Deliver timely resolution of unknown vendor transactions reported on bank reconciliations.
* Prepare detailed month-end reports for senior finance leadership reporting on AP performance metrics and ledger analysis.
* Improve reporting and insights to support month end analysis.
Stakeholder/Vendor Management:
* Build and maintain strong relationships with stakeholders/vendors.
* Manage the vendor onboarding and on-going monitoring process from an AP perspective, working closely with the procurement team to ensure financial obligations are clearly defined and adhered to.
Technology Utilisation/Continuous improvement:
* Regularly review processes to optimise systemisation whilst ensuring effective controls are in place, driving improvements while reducing waste.
* Working with the Head of Finance Operations on the delivery of existing and new systems, including acting as SME in all AP systems.
* Develop and implement AP policies and procedures.
* Ensure the AP team receive comprehensive training and development programs.
Management:
* Manage and develop a team, fostering a collaborative and high-performing culture and driving a service-led offering with clear and simple effective processes.
* Providing meaningful and real-time feedback to team members.
* Coaching individuals on understanding the importance of continual enhancement – whether that be in terms of internal controls & governance, accuracy and/or efficiency.
* Ensure the operational landscape, systems, and policies are aligned with best practice.
Compliance and Risk Management:
* Maintain an extensive knowledge of regulatory and compliance requirements within the AP/legal arena ensuring legal and regulatory requirements are embedded in all policies and operational procedures.
What you will need:
* Previous leadership experience in a similar role, preferably within the legal sector.
* Experience of systems implementation would be an advantage.
* Knowledge of Aderant and P2P systems is desirable.
* Strong Excel skills with the ability to manipulate data and present it well.
* A proven track record of resolving queries and meeting targets.
* The ability to provide stakeholders with an excellent service.
* Previous experience of people management with the ability to lead and influence others.
* Excellent attention to detail and high degree of accuracy.
* The ability to build strong relationships and influence internal and external stakeholders.
* Strong commercial focus and good business acumen.
* The ability to recognise an issue or opportunity and work with the business and leadership team to effectively implement improvements.
