Full Job Description
Support the Operations Manager, including recruitment of reception staff. Deputise for the Operations Manager during annual leave. Line manage, support, train, and develop the Care Navigators and PAs.
1. Prepare staff weekly rota in a timely manner, ensuring adequate reception cover across sites.
2. Have thorough knowledge of all reception-based and PA procedures.
3. Carry out PA role to a GP, including safeguarding administration.
4. Act as point of contact for queries for reception and admin team, nurses, and clinicians.
5. Support Care Navigators and PAs to signpost patients to the appropriate healthcare professional.
6. Responsible for day-to-day sickness reporting and return to work interviews of the reception team.
7. Ensure staff adhere to practice policies, including fire and health and safety standards.
8. Foster a positive team environment and encourage professional development.
9. Hold regular minuted meetings with staff as agreed with the Operations Manager.
10. Ensure effective communication within the team and with other departments.
11. Maintain confidentiality and data protection standards.
12. Provide support and guidance to the reception team during busy periods.
13. Work in accordance with the policies and procedures established by the Practice.
14. Answer incoming phone calls, transferring calls or dealing with callers' requests appropriately.
15. Input data into the patients' healthcare records as necessary.
16. Deal with queries and arrange appointments regarding services offered by the practice.
17. Ensure reception processes are followed, including accepting deliveries, processing Path Links, scanning letters and test results onto medical records, home visiting protocol, photocopying, registering new or temporary patients, SARs, insurance or solicitors letters, DVLA forms, and public health campaigns (e.g., flu).
18. Process eConsults to the appropriate healthcare professional or administrator.
19. Have an understanding of the duty GP role and operate within the surgery protocol.
20. Ensure reception and waiting areas are tidy and clean, including maintained noticeboards.
21. 0800 starts to include: opening the surgery, turning on PCs, wallboard, and check-in screens, responding to emergency lines, or ensuring trained rotad staff to do this.
22. Ensure cover for opening and locking both surgery sites, including The Old Dispensary.
23. Demonstrate flexibility if asked to work in other areas.
