Blyth Road Medical Centre is looking to recruit a part-time Receptionist/Administrator to cover for Maternity Leave. This is a temporary position for 6 to 9 months to start in April, but may lead to a permanent position.
Working hours will generally be Tuesday 8am - 12:30, Wednesday 8am - 12:30, Thursday 8am - 1pm, and Friday 2-6:30pm, but applicants must be flexible to cover any shifts for holidays and sickness Monday to Friday between 8am - 6:30pm.
Annual leave is in line with Agenda for Change.
Experience of working in a GP Practice would be an advantage, but not essential as full training will be given.
Closing date is Friday 28.3.25, but the advert may close early if sufficient applications are received. Interview Date is planned for Wednesday 2nd April.
Main duties of the job
The successful candidate will provide a high-quality reception service to patients, doctors, and other members of the Primary Health Care Team. It is essential to contribute to the maintenance of patient confidentiality at all times inside and outside the practice.
Job responsibilities
1. Opening the premises, checking the security and safety of the premises at the end of each day.
2. Receiving, checking, and printing requests for repeat prescriptions when required.
3. Receiving and routing patients on arrival, in a courteous and efficient manner.
4. Actioning tasks and emails.
5. Arranging interpreters.
6. Acting as a Chaperone when required.
7. Answering general inquiries at the reception desk and by telephone, explaining surgery procedures, making new and follow-up appointments.
8. Entering requests for appointments onto the Online Consultation Triage system and completing any actions as per clinicians.
9. Filing and extracting medical records, hospital reports, letters, and any other documentation relating to these.
10. Receiving, recording, and passing detailed and accurate requests for home visits to the clinicians.
11. Receiving, recording, and passing accurate messages for all members of the practice.
12. Dealing with new patient registrations and temporary resident registrations.
13. Ensuring the reception area is left tidy and ready for use by incoming colleagues, together with information about urgent and unresolved matters.
14. Offering administrative support to the practice nurses.
15. Two-week wait referrals and occasional typing of referral letters.
16. Scanning hospital letters.
17. Scanning and emailing documents as required.
18. Helping the practice maintain an accurate and up-to-date patient computer database and offering support with practice statistics and audit.
19. Processing links for IOS and registration and claiming IOS payments if required.
20. Dealing with Insurance Claims and Access to Health Records if required.
21. Participating in appropriate meetings.
22. Helping with refreshments for doctors and visitors.
23. Undertaking other duties as may be determined from time to time, commensurate with the range of activities described above.
24. Providing cover in the absence of other members of staff.
25. Participating in accordance with the need for individual and practice needs.
26. Any other duties assigned by the Partners, Practice Managers, or Senior Receptionist.
27. Attending training both in-house and at other locations as the need of the post requires.
