We are seeking a proactive and detail-oriented Service Coordinator to join our team. The successful candidate will play a key role in ensuring smooth coordination between customers, suppliers, the workshop, and Site Engineers. This position requires a mechanically minded individual with a strong focus on customer satisfaction, able to handle multiple service jobs concurrently.
Key Responsibilities:
1. Manage the end-to-end coordination of all service jobs, ensuring timely completion and alignment with client expectations.
2. Facilitate effective communication with clients, suppliers, and internal teams to ensure smooth operations.
3. Monitor and track service job progress, addressing any issues that arise and ensuring customer expectations are met.
4. Maintain high levels of customer satisfaction by delivering quality service and resolving any concerns promptly.
5. Provide support and cover for similar roles during holidays and absences, ensuring continued service delivery across the team.
6. Collaborate closely with the Production Manager to plan and schedule work through the in-house workshop.
7. Allocate resources, monitor job progress, and ensure timely delivery of services.
8. Keep clients informed by providing regular updates on their orders and service status.
9. Coordinate the selection and briefing of Site Engineers, ensuring the provision of necessary RAMS and equipment.
10. Respond to client calls and emails regarding service work, providing appropriate assistance and updates.
11. Prepare and deliver quotes for service and site work, ensuring accuracy and timeliness.
12. Create and maintain accurate client order acknowledgments and job details in the ERP system (Microsoft Dynamics).
13. Obtain supplier quotes, purchase materials, and manage subcontracted services related to service jobs.
14. Track and maintain relevant KPIs to monitor performance and service quality.
15. Maintain cost estimates for service work and ensure financial accuracy.
16. Develop work instructions for the workshop to ensure clear guidance for job completion.
17. Regularly update the WIP (Work in Progress) report to reflect job status and progress.
18. Handle the invoicing of completed work and ensure all necessary client documentation, including test certificates, is provided.
19. Uphold health and safety practices in all aspects of service and site work.
20. Participate in daily communication cells and present relevant KPIs and updates to the team.
Required Skills and Qualifications:
1. Mechanically inclined with a strong understanding of technical processes and requirements.
2. Excellent organizational and time management skills to coordinate multiple service jobs effectively.
3. Strong attention to detail and a proactive approach to problem-solving.
4. Ability to communicate effectively with internal teams and customers, maintaining professional relationships at all times.
5. Previous experience in a coordination or service-based role is preferred.
