As an ABA Operations Associate, you will play a vital role in streamlining the intake and authorization processes across all Spectrum locations. As an integral member of our Administrative Team, you will collaborate with a dedicated group of professionals to enhance access to transformative treatment for our clients.
At this time, the position of ABA Operations Associate is 100% remote.
Remote employees should have a dedicated professional work space that is free of distractions. Reliable and consistent availability is required Monday-Friday between the hours of 8:00am-12:00pm and 1:00pm-5:00pm EST or 9:00am-1:00pm and 2:00pm-6:00pm EST.
*It is important to note, that the long-term designation of this position as remote, is contingent upon the effective and efficient handling of all job duties and responsibilities.

Responsibilities:
* Serve as the primary contact for new client inquiries.
* Provide detailed information about our services and answer client questions with care and professionalism.
* Coordinate and schedule initial consultations and assessments with our Board Certified Behavior Analysts (BCBAs).
* Ensure timely and organized appointment scheduling.
* Verify insurance benefits for new clients, including coverage for ABA services, deductibles, co-pays, and pre-authorization requirements.
* Collect and organize all required client documentation, such as intake forms, medical history, diagnostic reports, and consent forms.
* Collaborate with the clinical team to ensure all necessary information is provided before services begin.
* Guide families through the intake process, ensuring they feel supported and informed every step of the way.
* Maintain accurate and up-to-date client records in our practice management system, adhering to HIPAA and other relevant regulations.
* Explain billing procedures to families as needed.
* Work with the billing department to ensure accurate processing of claims.
Administrative Support:
* Attend, actively participate, and take notes in assigned meetings (e.g., all-staff, administrative, etc.).
* Respond to written communications (questions and inquiries) with accurate information and professionalism within 48 business hours.
* Audit performance management systems.
* Assist the Operations Specialist with special projects.
* Assist in maintaining digital files.
This position reports directly to the Operations Specialist.
What You Bring to Spectrum:
* Bachelor’s Degree.
* Exceptional communication and interpersonal skills.
* A commitment to upholding Spectrum's mission and values.
* Previous experience in an intake or client-facing administrative role, preferably in a healthcare or ABA-related field.
* Familiarity with ABA services, insurance verification, and HIPAA compliance is highly desirable.
* Strong organizational skills with the ability to multitask and prioritize effectively.
* Proficiency in Microsoft Office and practice management software.
* Detail-oriented with a commitment to maintaining accurate records.
* Will be subject to a criminal background check.
