Our Company
We are currently recruiting for a Project Administrator to be placed in Brentford, UK on a 6-month contract, with possibility of extension.
Responsibilities
1. Organise calls and meetings (both internal and external)
2. Provide general administrative support to the Client Project Director and Client Project Team as required
3. Arrange internal and external meetings and events, including project meetings
4. Provide diary management for the managers as may be required
5. Coordinate and follow up on action items for the Project Team
6. Assist with and organise extensive travel arrangements - car hires, taxi/transfer services, train journeys, flights, accommodation, conference bookings; including arranging visas for several people, at the same time
7. Organise inductions for new starters as may be required
8. Collate information for meetings and reports
9. Format documents (e.g., CVs, reports, letters, etc.)
10. Manage Project SharePoint site (upload documents, issue templates, track any version changes, etc.)
11. Draft and prepare documentation - letters, meeting agendas; assist with presentations
12. Submit IT tickets on behalf of the Project Team and proactively deal with any IT-related issues
13. Process expenses in a timely manner
14. Perform ad-hoc tasks (create templates, process electronic/postal correspondence, filing, updating database (e.g., contacts), action tracking, etc.)
15. Establish and maintain effective communication with personnel in other offices in the UK and across the globe as may be required by the project
16. Actively take part in various campaigns and initiatives, and be a proactive member of the administration/business support team.
Skills / Qualifications
1. Must have previous experience in a similar Administration role within the resources industry, able to demonstrate proficiency in the responsibilities of the role
2. Previous experience working in the energy & resources (oil & gas) industry
3. A team player and confident people person with the ability to communicate easily at all levels
4. Excellent written and verbal communication skills
5. Excellent interpersonal skills and be able to facilitate team coordination
6. Attention to detail
7. Advanced Microsoft Office skills
8. Initiative and the ability to work effectively both independently and within a team environment
9. Time management skills, confident working under pressure, along with a proactive approach to work and ability to work flexibly and on own initiative
10. Flexibility (e.g., sometimes be available out of hours/weekends to attend to urgent matters)
11. Strong organisational, multi-tasking and prioritization skills
12. Commitment to maintaining and promoting high standards of the role.
