The Document Controller is crucial in ensuring the efficient management, organisation, and distribution of project-related documents. The successful candidate will play a key role in maintaining the accuracy, integrity, and security of project documentation. Key responsibilities: Oversee the management, organisation, and distribution of project documentation to ensure efficient document control processes. Implement and maintain document control procedures and standards to ensure compliance with company policies and industry regulations. Manage and track project documentation, including drawings, reports, specifications, contracts, and correspondence. Maintain an organised filing system (both electronic and physical) to ensure easy retrieval of documents when required. Ensure version control is properly maintained, preventing unauthorised or outdated documents from being used. Coordinate with project managers, site teams, clients, and subcontractors to facilitate the smooth flow of documentation. Ensure all project documents are reviewed, approved, and distributed in a timely manner. Conduct regular audits to verify the accuracy and completeness of documentation. Assist in the preparation of reports and documentation required for project meetings, audits, and compliance checks. Provide training and support to staff on document control processes and systems. Required skills & experience: Proven experience in a document control role, preferably within the construction, fit-out, or engineering sectors. Strong knowledge of document management systems and procedures. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document control software. Excellent organisational and time management skills, with the ability to handle multiple tasks simultaneously. High attention to detail and accuracy in managing project documentation. Strong communication skills, both written and verbal, with the ability to liaise effectively with internal teams and external stakeholders. Ability to work under pressure and meet deadlines in a fast-paced environment. Knowledge of industry standards and compliance requirements related to document control.
