Role Summary
Responsible for supporting the Compensation and Benefits Team with the administration of global compensation and benefits. This role ensures accurate processing of employee benefit selections, liaises with regional HR representatives, and supports country-specific benefits administration. Additionally, the role involves handling benefits-related inquiries, and compensation-related activities.
Responsibilities
Benefits Administration
* Responsible for the administration of employee medical insurance in terms of New Hires, Leavers and Changes, communicating with medical providers and ensuring employees are added timely and with the appropriate cover, or removed when they leave the Company, avoiding unnecessary extra cost.
* Administration of employee dependent, beneficiary and benefit selections within HRIS (eg. New Hires, Transfer, Changes).
* Support specific country activities related to employee benefits administration and medical insurance administration changes to existing employees (eg. adding newborn, adding/removing spouse etc).
* Support the region with the requests of medical coverage letters to support visa applications.
* Liaise directly with Regional HR representatives, insurance broker and insurance provider as needed.
* Support the Compensation and Benefits Advisor with the renewal process of all employee benefits liaising with brokers and providers as necessary.
* Support the region in the application process of income protection and life assurance claims that may arise.
* Responsible for the maintenance of the employee benefits portal on the company intranet, ensuring it accurately reflects country-specific benefits available to employees and effectively communicates benefit offerings across the Company.
Compensation and Benefits Operations
* Responsible for the administration of the Compensation and benefits email inbox collating required information on the New Hires/Leavers register for benefits administration and ensuring timely responses and issue resolution.
* Download, process and reconcile monthly medical invoices, and send to appropriate purchase ledger inbox for payment.
* Support specific country activities related to employee benefits administration, eg. medical insurance administration, EOSB (End of Service Benefits) accruals etc.
* Maintain and update personnel manning costing templates. Support regional HR with the costing of manning for tenders, ensuring accuracy in cost projections and alignment with company policies.
* Review and approve compensation changes in HRIS, ensuring accuracy, compliance, and proper documentation.
* Assist in the participation of annual remuneration surveys collating data in preparation of submissions.
* Administer the Company’s Service Award Program by identifying eligible employees, providing reports to the HR Admin HUB, and coordinating the selection and purchase of gifts in accordance with company procedure.
Compliance and Reporting
* Comply with all company policies and procedures and local labor laws regarding benefits and compensation.
* Ensure accuracy in benefits data management within HRIS, complete monthly checks on employee medical census vs HRIS ensuring employees have appropriate cover.
* Collation of monthly bonus accruals as directed by the Compensation and Benefits Manager.
* Perform other duties, complete additional tasks and support ad hoc projects as required as directed by the Compensation and Benefits Manager and/or Advisor.
* Take personal responsibility for own continued professional development and undertake any training as required.
Qualifications and Experience
* Certification at Secondary Level/High School Education.
* Working towards (or achieved) CIPD qualification or local equivalent (desired but not essential).
* Previous experience in an HR Coordinator role, with previous experience in compensation and benefits administration preferred.
* Highly organised and responsive, with the ability to handle multiple tasks simultaneously and work to tight deadlines.
* Ability to maintain accuracy and attention to detail while working in a complex, challenging environment.
* Ability to work as a team and individually, uses own initiative to identify and prioritise.
* The role also requires that a high level of confidentiality be maintained.
* Experience managing benefits in HRIS, preferably Workday.
* Excellent Excel skills.
* Microsoft Office.
