The Job Holder’s primary purpose is to enable and enhance access to the archival collections of Transport for London Corporate Archives, both within the business and externally.
The Job Holder will use their experience and expertise to decide on an efficient cataloguing programme of both physical and digital material. The Job Holder will have responsibility for using digital skills to lead on improvements to cataloguing processes and records discovery. The Job Holder will also contribute to advocacy (exhibitions and open days etc) and awareness raising activities undertaken by the Corporate Archives.
Key Accountabilities• To grow the breadth of the catalogue through continual cataloguing of physical and digital records to aid FOI and EIR responses, contribute to current business projects, and contribute to TfL's transparency commitments.• To continually review and revise in-house cataloguing standards and guidelines to ensure they are fit for purpose and as compliant with ISAD(G) and PREMIS as possible and that the quality of the catalogues grows.• To build digital repository workflows, resolve issues, deliver permissions-based access, and run migration pathways. Act as the primary point of contact for 3rd party suppliers. Initiate liaison with content owners and other business areas.• To lead the investigation and implementation of processes and technologies such as coding and Artificial Intelligence (AI) to aid the acquisition and cataloguing of digital records. • Support Assistant Archivist by answering enquiries in an accurate and timely manner and undertaking public searchroom duties to ensure a safe and efficient service when pressure of work on existing resources requires extra help.• Assist in outreach work (e.g. preparation for exhibitions and presenting) as directed by the Corporate Archivist.
Skills, Knowledge & ExperienceSkills• Ability to catalogue using CALM.• Ability to perform basic Ingest workflows in Preservica. • Good communication and influencing skills with the ability to persuade in discussion.• Basic presentation skills.• Critical thinking and analysis • Workload planning and ability to think flexibly.
Knowledge• Excellent professional understanding of archives and records management issues and relevant external standards ISAD(G); ISO 14721:2012; PREMIS; PD 5454:2012 BS EN 16893:2018.• Post-graduate archives and/or records management qualification or current enrolment on a postgraduate archival studies programme.• Knowledge of relevant guidance and codes of practice issued by The National Archives, the Information Commissioner’s Office, and other relevant sources.• An awareness of information security and assurance issues.
Experience• Setting and adjusting priorities in a changing environment.• Minimum 1-year experience working in an archives or records management service.• Cataloguing varied collections.• Using a digital preservation repository.• Communicating complex or specialist requirements to non-archives professionals.• Advocating on behalf of archives to non-professionals.• Managing a multi-faceted workload.
