Job Title: Facilities Administrator
The Role
We are looking for a Facilities Management Assistant to support the site team in delivering an
efficient and compliant facilities management service. This role involves working with in-house
staff, suppliers, and consultants to oversee both hard and soft services.
Responsibilities
● Financial responsibilities - raising POs, invoicing, and assisting with budgets.
● Monthly reporting and updating data statistics.
● Deliver exceptional customer service to both internal and external stakeholders.
● Maintain regular and effective communication with clients and occupiers.
● Collaborate with internal teams in property management, support functions, and the
wider business.
● Oversee works, audit processes, and inspect supplier-provided services.
● Support managers in measuring and reporting supplier performance against agreed
SLAs.
● Procure goods and services for the estate, ensuring compliance with procedures and
policies.
● Assist in the preparation of management reports and attend relevant meetings.
● Conduct regular building inspections, generate reports, and ensure follow-up actions are
completed.
● Work alongside the Corporate Facilities & Health & Safety Manager to oversee local
environmental initiatives, ensuring compliance with statutory obligations and maintaining
industry standards such as ISO14001.
