Job summary
Due to the upcoming merger of Amicus Health and Mid DevonMedical Practice we are seeking a Practice Manager to lead Clare House Surgery,the largest of the newly merged practice sites. This presents an excitingopportunity for an enthusiastic, motivated leader looking for their next challenge.
The successful candidate will need to demonstrate robustleadership and communication skills, be well organised and highly motivated.There will be a strong operational focus to the role, with an emphasis onensuring the smooth running of Clare House Surgery in its day to day deliveryof clinical services. The practice manager is a key member ofthe team and will be expected to demonstrate leadership qualities, achievinggoals and targets using a combination of personal involvement, motivation ofother staff and delegation when appropriate. An understanding of current NHSinitiatives would be helpful, however the introduction of new ideas and methodsfrom outside the NHS also presents an attractive proposition to thepartnership. In addition to adapting the practice to meet the demands ofproviding high quality patient care, the manager will need to ensure that thepractice is financially efficient and compliant with all aspects of health andsafety, employment legislation and CQC (Care Quality Commission) registration/compliance.
Main duties of the job
The successful candidate will beresponsible for organisational leadership, service improvement and delivery ofkey targets across the full range of clinical and administrative areas within ClareHouse Surgery. A high degree of personal organisational skill is required aswell as a systematic approach to problem solving and planning.
Working alongside the Partners, Group Manager and supported by an excellent management, administrative andclinical team you will be responsible for the day-to-day smooth running of thepractice. You will also have the vision, willingness and drive to adapt andlead the practice to continue to thrive in the ever changing and challenging (yetrewarding) world of Primary Care.

Upon mergerwith Mid Devon Medical practice we will be operating from five sites in Mid Devon.Respected for our collaborative working, training, teaching and diversification.With our team of over 120 (including 26 GPs) we provide traditional GP servicesfor over 24,000 patients across Mid Devon and Exmoor.
Clare House Surgery in Tiverton serves14,000 of these patients. It is located in the centre of Tiverton Town, a scenic,easy and often traffic free commute from Exeter. The successful candidate willbenefit from an NHS pension, 6 weeks of AL and the opportunity to workflexibly. Parking is available close by for £200 per year.

Key responsibilities
Finance
Responsible for the financial performance ofClare House surgery, including managing the surgery within the budget set bythe Group Manager and Partners.
Ensuring income is maximised through the meetingof targets including QOF and IIF and optimisation of Local enhanced Servicesperformance.
Ensuring the requirements of the practicecontracts with NHSE
are fully met and complied with
Directly contributing to profit improvement byexploring areas for increasing
income and reducing costs.
Strategic Planning
Keep abreast of current affairs and identifypotential opportunities and threats.
Together with the group manager, review andupdate the Practice Development Plan, overseeing the implementation of the aimsand objectives that fall within your area of responsibility.
Contribute to the management of the organisationrisk register; identify, managing and controlling any risks that fall withinyour area of responsibility.
Assist the practice in the wider community andassist with forging links with other local practices and relevant agencies andin particular working collaboratively the Tiverton PCN
Formulate objectives and research and developideas for future practice development.
To represent the practice at PCN, locality andclinical commissioning group meetings as required by the Group Manager
To make recommendations to the Group Manager andPartners for practice development with regard to enhancing patient services andpotential sources of income
Human Resources
Overall responsibility for all aspects of HR across theClare House Surgery including:
Recruitment and selection of staff working,including contracts of employment and job
descriptions
Ensure effective management and Employment Lawcompliance for any performance, disciplinary and dismissal process that fallwithin your area of responsibility
Be aware of current employment legislation
To develop and maintain good employee/employerrelationships
To ensure that members of the existing staffteam are aware of any changes that occur
in the practice
To maintain good communication at all times withthe practice team
To oversee rotas which allow good staff cover atall times as well as giving the flexibility
required at short notice to cover forillness, etc.
To ensure staff are supported to develop andperform within their roles by ensuring structured 1:1 support and ensuringyearly appraisals are held, including the setting of performance objectives anddevelopment plans.
To ensure staff sickness is managed consistentlyand in line with the policy for all staff.
To oversee the booking of Annual leave for thepractice, ensuring this is managed in line with the policy and supports theongoing smooth running and sustainability of the practice.
Information Technology
Ensure staff in your area comply withinformation governance processes
Ensure all Practice IT and telephone systems arefunctioning effectively
Ensure the IG and DSP toolkit requirements aremet within Clare House Surgery
Keep abreast of new technology and ensureexisting IT is used to its full potential, contributing to the continuousdevelopment of the use of digital technology to enhance patients care withinAmicus
Patient Services
Ensure that the Practice complies with NHScontractual obligations in relation to
patient care
Maintain registration policies and monitorpatient turnover, supporting the planning of recruitment for additional staffresource in line with increasing patient numbers.
Actively seek to attract new patientregistrations by ensuring the practice maintains a positive online profile and throughthe identification of other initiatives to support this goal.
Oversee effective appointment systems
Routinely monitor and assess practiceperformance against patient access and demand targets. Support the managementteam to make suggestions for, and plan changes in the light of these reviews.
Oversee the response and outcomes for complaintsthat fall within your area of responsibility
Contribute to the learning and significant eventprocesses for your area of responsibility, ensuring they are reviewed and anylearning is embedded across the practice
