Here at MJ Quinn, we currently have an exciting new opportunity for an Administrator to join our Fleet Department. This position will be based in our Logistics Building in Knowsley, Liverpool.
Departmental Overview
The MJ Quinn Fleet department presently operates over 1600 vehicles. The job holder will complement our existing Fleet Management team and assist in our quest for continuous improvement in the management of our fleet.
Job Purpose / Primary Objective
* To assist in the upkeep of all vehicle records in both paper and electronic format.
* To assist with the day-to-day administrative duties within the Fleet department and provide general administrative support to all members of the team.
* To be responsible for owning the general emails and phone calls directed at the Fleet function.
* To be fundamental in developing MJQ’s working culture, its reputation, and values.
Key Responsibilities:
* Maintaining vehicle records on CRM and completion, and subsequent filing of paperwork.
* Maintaining CRM departures database, ensuring relevant departments are informed where appropriate.
* Raising purchase orders on Sage for vehicle-related expenditure.
* Dealing with general emails and telephone queries.
* Processing insurance claims through the internal systems and liaising with the nominated insurance company.
* Processing vehicle-related fines and charges online, creating events on CRM and subsequent recharge claim processing.
* Liaising with suppliers to organise the repair and/or maintenance and servicing of vehicles nationally.
* Liaising with suppliers to organise vehicle swaps, repairs, and raising associated orders.
* Liaising with both office and field-based operatives on all vehicle-related matters.
* Completion and recording of Notice of Intended Prosecution forms from national police forces.
* Liaising with the relevant authorities and operatives to settle fines and other vehicle-related charges.
Experience & Requirements:
* Administrative experience in a previous role.
* Customer Service/Care experience.
* Proficient in IT skills, Word, Excel, Outlook.
* Strong written and verbal communication skills.
* Strong orientation towards quality, safety, and continuous improvement.
* Ability to prioritise work, work well under pressure, meet deadlines, and manage business expectations.
* A legal right to work in the UK.
