Role Summary : The role requires a highly organised and versatile Office Manager and Executive Assistant who can efficiently manage office operations for rented company accommodation, whilst providing high-level administrative support to our executive team. Job Responsibilities: Office Management: Oversee daily office operations to ensure a smooth and efficient working environment. Manage office supplies, equipment, and vendor relationships, ensuring timely maintenance and replenishment. Coordinate office events, meetings, and team-building activities. Working with the Health & Safety Manager, ensure compliance with health and safety regulations within each office. Manage facilities management, including liaising with property management and ensuring clean and professional workspaces Credit card reconciliation for company credit cards Purchasing for various departments on an Ad-Hoc basis Managing building and office access passes for staff, visitors, new starters and leavers Distribution of mail, as well as handling outgoing mail, both UK and international Communicating any necessary changes or office news within the company Helping the compliance team with any upcoming audits Creating new suppliers within Netsuite and raising purchase orders for the HR & Legal department Executive Assistance: Provide comprehensive administrative support to named executives, including managing calendars, scheduling meetings, and coordinating travel arrangements. Prepare and edit correspondence, reports, presentations, and other documents as needed. Assist with project management tasks, tracking progress, and ensuring deadlines are met. Handle sensitive and highly confidential information with absolute discretion. Act as the primary point of contact between executives and internal/external stakeholders. Help to manage and process expenses for the Exec team Working closely with our teams in both France & Spain Knowledge, Skills, Experience and Qualifications: • Proven experience as an Office Manager, Executive Assistant, or in a similar role. • Exceptional organisational and multitasking skills, with the ability to prioritise tasks effectively. • Strong written and verbal communication skills. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Ability to work independently and collaboratively in a fast-paced environment. • High level of discretion and professionalism when dealing with confidential information. Preferred Qualifications: Experience in an SME and construction environment desirable, but not essential. Experienced user of office management software (e.g., MS Teams, PowerPoint, Word, Excel) Bachelor’s degree in Business Administration or a related field desirable but not essential.
