Legal Executive PA

25-30 hours a week

£28,000 - £35,000 DOE (pro rated to hours)
An exciting new part-time opportunity has arisen for an experienced Legal Assistant/ Executive PA to join a prestigious and award-winning law company based in Leeds city centre. This dynamic role is ideal for a proactive and experienced Legal Assistant or Established Executive PA.

You will be supporting the Operations Director with structure and utilising your methodical approach. This is a new role, so it will require your initiative, to ask the right questions and work closely with the OD to understand the support they need, learning and evolving the role as you go.
As Legal Assistant/ Executive PA you will be representing a prestige brand, so I am looking for someone super professional, who understands the importance of being a great brand ambassador for the business in a professional setting.
Key responsibilities:
Complaints & Client Care
Acknowledge complaints
Liaise with fee earners to prepare draft complaint responses for review.
Maintain and update the Complaints Register.
Debt Management & Financial Oversight
Maintain and update the Debtor Register.
Prepare a monthly report on debtor suspensions, closures and cases earmarked for letter before action.
Draft and send Letter Before Action.
Prepare case files for transfer to outsourced debtor/litigation firms for debt proceedings.
Maintain and update the Debt Proceedings List.
Prepare monthly 4 Clocks – possibly with debtor information in order to centralise live file billing data.
Request and access billing information, chase fee earners for live file updates.
New Starters & IT Administration
Arrange new order placements and IT setup with Linten IT.
Co-ordinate new starter hardware procurement and setup.
Arrange new starter training with Jayva.
Liaise with Linten IT regarding ongoing training and security awareness—prepare update reports.
Act as the initial contact for fee earners regarding IT issues Linten IT & Leap support cannot resolve - escalate to me when necessary.
Litigation Funding
Maintain the Litigation Funding Register.
Liaise with fee earners and funders using template questionnaires to bring applications to pre-screening level.
Case Support
Administer HMCTS portal access for new starters and allocate new cases to fee earners.
Manage HMLR portal access:
Process OCE (Official Copy Entries) requests.
Lodge applications (e.g. Home Rights Notices, Restrictions, Severance).
Review notifications log and refer to fee earners as needed.
Prepare Statement of Accounts using firm templates.
Liaise with Eli for escalated invoice queries.
Review credit note requests and update the Credit Note Register.
Office & Supplier Management
Liaise with Apogee Printer for consumable orders and service requests.
Manage Paperhouse Stationery orders and stock levels.
Co-ordinate archiving and retrieval of case files (both physical and digital).
Oversee court bundle printing
General Administrative & Process Management
Oversee firmwide subscriptions and memberships (Gradwell (Telephony), O2 / Virgin Mobile Contract, Hold Music provider, Adobe, Franking, Water Machine etc)
Act as a point of contact for building management queries (e.g maintenance, security, access)
We do ideally require previous experience as a Legal Assistant tor Executive PA within a law or financial company and someone ideally that is familiar with using AI tools, but this is not essential.
