We are recruiting for a Band 4 Administration Services Officer to work with our public sector client based in Derry/L'Derry. The overall purpose is to provide administrative support to the project leads and project managers for a range of activities and special projects. Key duties: Photocopying, typing and diary responsibilities. Take appropriate action in relation to email, telephone, and other enquiries ensuring effective messaging and bring forward systems are in place and that follow up action has been taken. Operation of the central filing system including: Creation and maintenance of reference files for project documents in line with Records management requirements Maintain a robust archiving system to allow for version control of all records To set up and service a range of meetings for project board, project team and project sub groups and to include: Production of accurate minutes Timely circulation of appropriate papers to include agendas and minutes Co-ordination of any action required from meetings to meet deadlines Arrange meetings over teams or where required face to face to include the issuing of electronic invites and booking of venues. Criteria: 2x A-Levels or equivalent and a minimum of 5x GCSE's Grade C or above (or equivalent) and 18 months relevant experience within an office based environment to include minute taking, filing, diary maintenance, making travel arrangements and using Microsoft Office Suite.
