The hotel has 429 bespoke designed bedrooms,Bloom Bar and Lounge. The state of the art event space offers 7 contemporary designed meeting and banqueting rooms which provide the flexibility for formal meetings, training courses, private dinners, social events and weddings.

Job Summary:
The Meeting & Event Coordinator will be responsible for planning, organizing, and executing all aspects of meetings and events held at the hotel. This role will work closely with clients to ensure their vision is brought to life, while also collaborating with various hotel departments to coordinate logistics and deliver exceptional service.
Key Responsibilities:
1. Client Consultation:
- Meet with clients to understand their event requirements, preferences, and budget.
- Provide expert advice on event planning, including venue selection, catering options, and audio-visual needs.
2. Event Planning:
- Develop detailed event plans, timelines, and budgets.
- Coordinate logistics for meetings, conferences, weddings, and other events, ensuring all details are managed efficiently.
3. Vendor Management:
- Liaise with external vendors and suppliers, including caterers, decorators, and audiovisual teams.
- Negotiate contracts and manage relationships to ensure quality service delivery.
4. On-Site Coordination:
- Oversee the setup and breakdown of events, ensuring all aspects are executed as planned.
- Serve as the primary point of contact during events, addressing any issues that arise promptly.
5. Collaboration:
- Work with hotel staff across departments (e.g., catering, housekeeping, front desk) to ensure seamless service delivery.
- Attend and contribute to regular meetings to discuss upcoming events and share feedback.
6. Marketing and Promotion:
- Assist in promoting the hotels meeting and event facilities to potential clients.
- Help develop marketing materials and participate in trade shows and networking events.
7. Budget Management:
- Monitor event budgets, ensuring all expenditures remain within limits.
- Prepare invoices and follow up on payments from clients.
Qualifications:
- Bachelors degree in hospitality management, Event Planning, or a related field.
- Previous experience in event planning or hotel coordination is preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work flexible hours, including evenings and weekends.
