In this role you will assist the Talent Acquisition Manager and Talent team with all administrative and organisational tasks to help ensure a smooth and efficient recruitment process, enabling the team to attract the best talent across the business for Paul Smith Ltd. Please note, this is a part-time position working 25 hours per week, which can be split over 4 or 5 days depending on your preference. The Role Manage the Recruitment inbox on a daily basis, ensuring all emails receive the relevant response or are forwarded to the relevant member of the team. Manage and organise all talent acquisition administration tasks, such as advertising vacancies across multiple platforms, candidate follow up and communication. Assist with shortlisting and scheduling interviews when required. Utilise the Paul Smith Applicant Tracking System (ATS) to support the Talent team. Draft adverts with the support of the Talent Acquisition Manager and wider Talent team. Ensure job descriptions are saved in the correct format and work with Managers to ensure job descriptions have been provided for internal promotions. Support with the screening of candidates against a set criterion, ensuring applications have all the necessary information. Collate regular salary surveys to gather information on industry rates. Take ownership for all work experience requests; planning, organisation, and communication. Build relationships with key Managers and Heads of Department across the business to facilitate the process. Organise new starter gifting, liaising with Managers, Retail Shops and the Warehouse to ensure that all new starters receive the appropriate gift and stock levels are maintained. Support the Talent team with posts and updates on LinkedIn, The House (our employee portal) and other recruitment platforms when needed. Communicate with leavers to ensure the Leavers Feedback Survey has been sent out and completed. Check results on a regular basis. Request references for any new starters who have been offered employment with Paul Smith Ltd. Your Skills and Experience Intermediate level in Microsoft Office packages. Proven administration experience in a fast paced and busy environment. Confident in communicating detailed information via email and telephone. Ability to work to set deadlines and can remain calm under pressure. Experience utilising LinkedIn and other recruitment platforms would be desirable.
