Overview: Job Title: Healthy Communities Project Support and BCC Active referrals Administrator Salary: Circa £24,400 Responsible to: Mental Health and Wellbeing Programme Manager Location: Birmingham and Solihull wide Hours of Work: 37.5 Contract Type: Fixed term contract 31/03/2026 The Active Wellbeing Society The Active Wellbeing Society (TAWS) is a community benefit society and cooperative working with communities to identify, mitigate and remove barriers that prevent them from living active and connected lives. As part of our approach, we are excited to be working in partnership to develop a health connector service which will focus on improving health outcomes for people with severe mental illness. The role will provide a range of project support to the Healthy Communities Directorate, to assist the smooth running of the programmes and services that sit within it. The postholder will be required to be adaptable and able to undertake a range of duties including data collection and inputting, processing GP referrals and undertaking tasks essential to the delivery of the programmes within the Directorate. The postholder will be expected to liaise with citizens, patients and service users, as well as external health partners such as GPs and practice managers. The role will be key to ensuring that the Healthy Communities Directorate is well supported in all administrative and project support requirements and as such, the postholder will be expected to be proactive and able to work well in a team, as well as using their own initiative. Additionally, the role includes administrative support for Birmingham City Council’s Be Active Plus scheme, requiring at least two days per week working with council systems and databases. A thorough understanding of these processes is essential. As part of your role, you will be responsible for the following key areas: IT & Data Management – Maintain and update referrals databases, ensuring accuracy and compliance. Process GP referrals and track data using established systems. Stakeholder Coordination – Manage communication with internal teams, GP surgeries, and council partners via phone, email, and digital channels. Systems Administration – Provide support and training on the council’s referral system, troubleshoot issues, and ensure data security compliance. Project & Event Support – Schedule meetings, coordinate logistics, and manage materials for events and stakeholder activities. Reporting & Documentation – Collate, input, and manage records, including monthly reports, invoices, and programme data. Content & Material Development – Assist in creating service-related materials and presentations, including using Canva. Community Engagement – Support patient activities such as focus groups, surveys, and feedback collection. Below you will find the necessary experience knowledge and values required to flourish in this role: Database & Referral Management – Experience recording and monitoring incoming referrals using the council’s dedicated database, ensuring accuracy and compliance with established protocols. Stakeholder Communication – Ability to handle and respond to daily email and phone queries from GP surgeries, Wellbeing & Leisure teams, and HFA advisors, providing timely and accurate information. Systems Support & Training – Experience providing training and support on referral systems to council staff. Data Analysis & Reporting – Strong knowledge of Excel, including setting up and managing data dashboards to track team performance. IT & Digital Tools – Working knowledge of Canva for creating marketing materials and presentations. Adaptability & Initiative – Flexible and proactive in a fast-paced, evolving environment. Team & Organisational Support – Willingness to support wider organisational needs and undertake additional duties as required.
