Job Description:
Pre-Task planning
* Build list of rooms to be migrated with timescale
* Support OCM team with Comms Plan for down time of meeting rooms
* Create a Mapping Table from Old Meeting Room Name to New Meeting Room Name for Matrix Team & M365 Team
* Book Meeting With Matrix to understand the Matrix Migration process
* Confirm Receipt of Hardware Hashes
* Confirm with Procurement 58 Teams Pro Licenses have been ordered
* Load Hardware Hashes to CUSTOMERS NEW Tenant
* Confirm CUSTOMERS NEW Tenant has 58 Teams Room Pro Licenses
* Confirm meeting room Identities have been migrated over by IDAM Team
* Configure All MTR devices in CUSTOMERS NEW tenant per Room in AutoPilot
* Confirm M365 Meeting Rooms mailboxes have been migrated over successfully
* Load Configuration of Rooms into Teams Room Pro
Confirm Teams Rooms Admin Portal / Autopilot can see all 58 rooms
* Power off MTR devices
* Update Device Hashes with Autopilot Device TAG
* Watch Autopilot configure the rooms
* Check Teams Rooms Portal to confirm the Rooms have been built and status set to assigned
* Power on the MRT devices in the Meeting Rooms
* Book Meetings in each of these rooms and confirm the meeting Rooms receive the booking (Just in outlook and on MTRs)
* Test Meeting room functions based on Test Scripts
* Sign off successful migration of meeting rooms
Update Device Hashes with Autopilot Device TAG
* Watch Autopilot configure the rooms
* Check Teams Rooms Portal to confirm the Rooms have been built and status set to assigned
* Power on the 47 MRT devices in the Meeting Rooms
* Book Meetings in each of these rooms and confirm the meeting Rooms receive the booking (Just in outlook and on MTRs)
* Test Meeting room functions based on Test Scripts
Surface Hubs
* Comms Plan for down time of meeting rooms
* Remove Surface Hub2 Module and Replace with Hub3 Module
* Retrieve Hardware Hash from 6 surface hubs
* Load Hardware Hashes to CUSTOMERS NEW Tenant
* Confirm Collaboration space Identities have been migrated over by IDAM Team
* Confirm CUSTOMERS NEW Tenant can identify 6 Surface Hub3s
* Confirm M365 Collaboration spaces mailboxes have been migrated over successfully
* Load Configuration of Collaboration Space into Teams Room Pro
* Confirm Teams Rooms Admin Portal / AutoPilot can see all 6 Collaboration spaces (surface hubs)
* Power off 6 x SurfaceHub3
* Update 1 x Surface Hub in Wok Device Hash with Autopilot Device TAG
* Watch Autopilot configure the rooms
* Check Teams Rooms Portal to confirm the SurfaceHub have been built and status set to assigned
* Power on the Surface hub
* Book Meetings in MTR and confirm the Collaboration Space receive the booking (Just in outlook and on SHUB)
* Test surface hub functions based on Test Scripts
* Sign off successful migration
* Update 6 Surface Hubs Hashes with Autopilot Device TAG
* Watch Autopilot configure the rooms
* Check Teams Rooms Portal to confirm the surface hubs have been built and status set to assigned
* Power on the 47 MRT devices in the Meeting Rooms
* Book MTR in and confirm the meeting is received by Shub (Just in outlook and on MTRs)
* Test Meeting room functions based on Test Scripts
Matrix Space Booking
* Make sure we have a support team to deliver hypercare if there are any problems with the Migrated Meeting Rooms
* Work with the Change team to understand what Rooms are being used by the Exec and how they book them, allowing us to understand what rooms need to be migrated and what user guides will need to created to support them with an ways of working changes.
* Make sure ServiceNow is configured to accept Meeting Room Requests and Matrix requests
* Make sure ServiceNow is updated with all the knowledge articles for meeting rooms & Matrix,
* Work with the Change / Comms Teams to provide them details on which Rooms are being Migrated Wave 1 and Wave 2
* Login to Matrix with Customers new Identities to confirm CUSTOMERS NEW Entra is working as an authentication method for Matrix
* Provide support for the below testing
* Test Meeting Rooms can be found in Outlook Room Finder and room configuration is visible
* Test Meeting Rooms can be booked using Outlook Room finder and the acceptance email is received
* Test Meeting Room On Touch Join to confirm Teams URL re-write was successful
* Run through Test Scripts for Meeting Rooms to confirm migration has been successful
Scope for migrating MTR/Matrix from NG network to CUSTOMERS NEW network (when network is ready)
* Patching
* Access to M365 Cloud services
* Proxy settings for Zscaler
Perform build and test for CUSTOMERS NEW Test MTR on model office network
* Build run-book for all 58 rooms – the same level as the MTR work today.
* ‘Migrate’ all rooms – rebuild all MTR onto the new CUSTOMERS NEW network.
Scope for support
* Hypercare support for all MTRs covering Wokingham, Warwick and Glasgow.
* Monitoring will be performed by Teams room pro, but deskside support maybe required to replace / fix / coordinate for replacement before the run partner is confirmed.
