The role:
We are looking for a Studio Assistant for our London Design Studio to support the Design team. This on-site role is a fundamental part of keeping the creative space running smoothly.
Responsibilities:
1. Act as a key point of contact for the studio, including in the event of an emergency.
2. Manage all site contracts - setting up and renewing them where needed to ensure the best service and VFM.
3. Manage contractor list of trusted partners who know the site and equipment well.
4. Ongoing maintenance of the building by managing contractors to attend the site to quote, carry out works and arrange payment.
5. Manage and maintain H&S requirements of the site.
6. Manage and maintain fire safety requirements of the site.
7. Support workshop manager to align on the cadence of equipment maintenance and servicing as well as ordering and setting up subscriptions to consumables as required.
8. Keeping the kitchen stocked. Managing regular snack, breakfast and lunch orders.
9. Maintaining stock of stationery.
10. Logistics as required to include shipment of packages within the UK and internationally. Managing incoming post.
11. Travel bookings for the team.
12. General administrative tasks for the whole design team including expenses.
13. Planning for new starters.
14. Welcoming contractors and visitors to the site and chaperoning, offering refreshments.
15. Setting up and checking NDAs.
16. Support in the onboarding of freelancers.
17. Work with ops manager on budget and budget requirements for the studio.
18. Manage the growth of the studio and manage minor works to support this.
19. Support needs of team and visitors in desks, power, displays, internet access.
20. Ensure meeting rooms and high-visibility areas are tidy every day, and ahead of visitors.
Requirements:
1. An organised person who is a good listener, and who appreciates the importance of running a pleasant and tidy creative studio.
2. Experience in property management desirable.
3. Experience and desire to work in a fast-paced, creative space.
4. Flexible and willing to travel.
5. Strong English communication skills.
6. Self-starter and ability to work autonomously.
7. Able and willing to work onsite in central London location, 5 days per week (Monday - Friday).
8. Some basic budgeting skills are desirable.
9. Great communication skills.
10. A friendly and professional first point of contact who will represent the studio.
