Your new role
1. Assist the Operations Delivery Manager in the day-to-day coordination of all operational activities
2. Liaise between customer and management to ensure smooth operations delivery
3. Maintain clear and accurate operations documents for future reference purposes
4. Maintain an up-to-date awareness of all project forecasts
5. Book machinery, cranes, UK haulage, hotels
6. Book external agency personnel & monitor time sheets
7. Manage WorkMobile and ensure all job-packs are prepared and uploaded for all live projects
8. Create orders for project components and materials
9. Match corresponding invoices to orders
10. Create and email client checklists to customers, ensuring all is in place for the project to commence (i.e. Sending certs, insurance and other requests by the client)
11. Send all Project RAMS and lift plans to client
12. Premier in statement and invoices
13. Mileage and labour reports
14. Visa card log and spend records
15. Maintain Visual Planning and Operations IT housekeeping
16. Liaise with all scanning companies regarding scans, visits and POs
17. Process subsistence payments
18. Expense processing
19. Weekly van tracking
20. Arrange French Haulage
21. Book Flights
22. Book Ferries
23. Prepare management meeting reports: agency man days/monthly projects/monthly transport/hotel costs
24. Raise purchase orders and other requests to assist the Logistics Manager
25. Assist all Site Managers with office support as required
26. Conduct driving licence checks
27. Update all external subcontractor’s insurance details to ensure adequate indemnity cover
28. Perform other routine day-to-day tasks to ensure the projects run smoothly
29. Continually develop your own professional competence and achieve all set objectives
30. Perform other duties as requested by the Operations Director
What you'll need to succeed
1. IT Literate, including MS Office and PDF
2. Confident, professional and flexible with excellent attention to detail
3. A high level of practical working skills and the ability to communicate coherently
4. Ability to handle high levels of pressure
