Liverpool Celebrates is a dynamic festival that showcases the city’s vibrant culture, music, and entertainment, bringing communities together for unforgettable experiences. As we continue to grow, we are seeking an Assistant Event Manager to support the Festival Director in delivering a seamless, high-quality event.
Role Overview
The Assistant Event Manager will play a key role in supporting the Festival Director across all aspects of festival planning, logistics, and event-day execution. This position requires exceptional organizational skills, a proactive approach, and the ability to thrive in a fast-paced, high-energy environment.
Key Responsibilities
1. Event Planning & Coordination:
• Assist in the development and execution of festival plans, schedules, and timelines.
• Coordinate with suppliers, contractors, performers, and vendors to ensure all logistical requirements are met.
• Support in obtaining necessary permits, licenses, and health & safety compliance.
• Manage festival-related administrative tasks, including documentation, reporting, and communications.
2. Operations & Logistics:
• Assist in venue planning, layout design, and event infrastructure coordination.
• Support supplier and contractor liaison to ensure smooth festival setup and breakdown.
• Work with security, stewarding teams, and local authorities to maintain a safe and secure environment.
• Help oversee deliveries, stock control, and on-site logistics.
3. Stakeholder & Team Management:
• Act as a key point of contact for event staff, volunteers, and third-party partners.
• Coordinate team briefings, schedules, and on-the-day operations.
• Work closely with marketing and sponsorship teams to ensure brand activations are successfully delivered.
• Provide excellent customer service and assist in troubleshooting event-related issues.
4. On-the-Day Event Management:
• Support the Festival Director in overseeing all aspects of event delivery.
• Act as a liaison between different departments, ensuring smooth communication and problem-solving on-site.
• Monitor event flow, crowd management, and operational efficiency.
• Assist in emergency response planning and execution.
5. Post-Event Evaluation:
• Support in post-event debriefs, evaluations, and reporting.
• Assist in gathering feedback from stakeholders, attendees, and partners.
• Contribute to improvement plans for future editions of Liverpool Celebrates.
Essential Skills & Experience
1. Experience in event management, operations, or production (festival experience preferred).
2. Strong organizational and multitasking skills, with the ability to work under pressure.
3. Excellent communication and interpersonal abilities.
4. Proficiency in event management tools and Microsoft Office Suite.
5. Knowledge of health & safety regulations and event licensing.
6. Ability to work flexible hours, including weekends and evenings.
7. Passion for delivering world-class events and enhancing Liverpool’s cultural scene.
Desirable
1. Experience working with local authorities and emergency services.
2. Familiarity with budgeting and supplier negotiations.
3. First Aid or Health & Safety qualifications (or willingness to obtain).
