Job Title: Export Shipping + Logistics Coordinator
Reports to: Customs + Customer Service Supervisor
Job Summary:
The Export Logistics Coordinator is responsible for managing and coordinating the international shipment of goods. This includes ensuring compliance with export regulations, preparing and processing shipping documentation, coordinating with freight forwarders and carriers, and tracking shipments to ensure timely delivery. The role requires excellent organizational skills, attention to detail, and the ability to work in a fast-paced, global environment.
Key Responsibilities:
* Coordinate and manage the export of vehicles from collection in UK to delivery in the USA and Canada.
* Prepare and verify all necessary export documentation including commercial invoices, titles, certificates of origin, export declarations, and shipping instructions.
* Work closely with freight forwarders, RORO (Roll-on/Roll-off) and container shipping lines, customs brokers, and inland transport providers.
* Arrange vehicle inspections, pre-shipment checks, and compliance with EPA/DOT regulations for U.S. and Canadian-bound shipments.
* Monitor shipment progress, troubleshoot delays, and provide updates to internal teams and clients.
* Manage data entry and record-keeping in logistics systems and ensure all documents are properly archived.
* Communicate proactively with dealerships, customers, port authorities, transport companies, and regulatory agencies.
* Stay informed on changes in international trade regulations and vehicle export requirements.
* Maintain accurate records of shipments and documentation for audit and compliance purposes.
* Provide timely updates to customers and internal stakeholders on shipment status.
* Prepare and provide accurate freight and logistics quotations for clients based on shipping routes, incoterms, and service options.
* Source rates from carriers, forwarders, and inland transport providers to compile competitive pricing.
* Maintain and update rate sheets, tariffs, and pricing templates regularly.
* Collaborate with the sales or business development team to support client proposals and inquiries.
* Maintain positive client relationships through clear and timely communication.
* Attend end-of-month, end of year internal meetings to report on shipment activity, revenue, challenges, and KPIs.
* Visit Air Force bases and other client sites occasionally to represent the company, build relationships, and promote vehicle export services.
* Maintain professional and responsive communication with all stakeholders, both internal and external.
* Issue and manage invoices based on finalized shipments, ensuring alignment with contractual terms and services provided.
