We are a fast-paced business with plenty of opportunities for growth so if this sounds like you, we'd love to hear from you JOB PURPOSE We are seeking a proactive and organised Administrative Assistant to support the Group Driver Manager in delivering our new flagship Driver Apprenticeship Project. The successful candidate will act as the primary point of contact for training providers, candidates, and internal stakeholders, ensuring the seamless coordination of all project activities. This role would be working Monday to Friday, 25 hours per week. We can be flexible with the working start and finish times. MAIN DUTIES AND RESPONSIBILITIES This role is to support the project manager with all the following requirements, including: Serve as the first point of contact for training providers, apprenticeship candidates, and internal stakeholders. Act as the interface between GRS, training providers, and candidates, ensuring clear and timely communication. Advertise apprenticeship opportunities across multiple platforms, including job boards, social media, and internal communication channels. Respond to inquiries and guide candidates through the application process. Organise and schedule training days for candidates in collaboration with training providers and internal teams. Ensure all candidate documentation (e.g., applications, certifications, eligibility documents) is collected, verified, and stored correctly. Book training sessions for candidates and manage associated logistics. Maintain an up-to-date project calendar and track the progress of individual candidates. Provide administrative support for project meetings, including preparing agendas, taking notes, and following up on action points. Perform general administrative tasks, such as managing correspondence, maintaining records, and generating reports. Ensure that all processes comply with company policies and apprenticeship regulations. Responsibility for compliance and discharging legal duties with regards to HR and Health & Safety to promote a safe, equitable and legally compliant work place. KNOWLEDGE, TRAINING, QUALIFICATIONS AND EXPERIENCE REQUIRED TO DO THE JOB Proven experience in an administrative or project coordination role. Excellent organisational skills with the ability to manage multiple tasks simultaneously. Strong communication and interpersonal skills, with a professional and approachable style. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with social media platforms and job advertising tools is desirable. Knowledge of apprenticeships or training programs is an advantage but not essential. Self-motivated and proactive, with a high level of attention to detail.
