Location: Warehouse K Royal Victoria Docks London LND E16 1DR
Office based, option to work remotely 1 day per week.
Hourly rate: £16.57
Working Days/Hours: 9-5 Mon-Fri 37 hours
Length of assignment: 6 months / Maternity cover

Experience Needed/Desired:
* Organising and managing effectively to achieve desired results/outcomes.
* Regularly processing complex & varied information and managing that information accurately and in the required format.
* Able to work effectively both independently and flexibly as part of a team.
* IT Skills - Previous experience of using Microsoft Office packages, especially Word, Excel, PowerPoint, Outlook, and SharePoint.
Desirable Skills and Experience:
* Writing Skills - Ability to draft reports, recommendations, and meeting minutes.
* Previous experience of working in Business Assurance or Procurement environment.
List of Duties/Responsibilities:
* To oversee the maintenance, review, development, and update of all activities and documentation relating to Business Continuity at the London site.
* To lead in the development, training, and completion of the annual schedule of business continuity exercises.
* To provide expertise and support to the Senior Leadership Team regarding all aspects of business continuity incidents, ensuring legal and policy requirements are met, coordinating closely with required national teams.
* To lead, develop, support, and challenge all elements of the risk management process for Workplace Management within the London Office, coordinating closely with the required national teams.
* To provide support in the provision of assurance to the Workplace Management Delivery Manager, including for Health, Safety, and Security compliance.
* To lead on raising awareness around the principles of Business Assurance, Procurement & Post Room processes around the office.
* To manage stock levels and ordering of envelopes, stationery, PPE, and equipment via approved procurement channels.
* To manage ordering via Government Procurement Card, ensuring value for money and completing reviewing & auditing process in a timely manner.
* To manage the Post Room attendance, availability, and deployment of staff on the team to provide the best match between available resource and likely demand.
* To ensure that all internal and external post is correctly distributed and collected, within agreed service standards.
* To supervise preparation of all outgoing mail, ensuring timely collections and escalating issues as required.
* To report, monitor, and manage breakdown/repair of any business-critical infrastructure, supporting any Business Continuity arrangements as required.
* To ensure the security of the post room and its contents.
* To ensure various filing duties, end of day procedures, examiner queries, and other admin duties are completed in a timely manner.
* To contribute pro-actively to WPM Business Continuity, Procurement, and Post Room Forum discussions or external supplier meetings, liaising in a constructive and timely manner with all stakeholders.
* To undertake any manual handling duties as part of Procurement & Post Room support, if required.
* To be flexible and support the local Workplace Management team, as required.
* To establish and maintain productive working relationships with a wide range of contacts and stakeholders, adapting communication methods to meet the needs of the audience.
* To manage own time so as to complete all work efficiently to meet agreed reporting and review timeframes.
* To take responsibility for own performance and personal development.
* To effectively manage team performance as per departmental policy.
* To demonstrate and promote the Operational Excellence pillars and Home Office Values & behaviours in all areas of work.
Training:
The Home Office will provide a 2-3 week training period, this will mostly be completed remotely. Please note that no annual leave will be permitted during the training period.
Role Specific Requirements:
You must hold a valid passport and must have lived in the UK for longer than 5 years. Please note that a period of 6 months or longer spent outside of the UK in the last 5 years will unfortunately not be accepted. This role requires security clearance that will be processed for you, if successful.
