Job Summary
We have an exciting opportunity for a Band 3 Senior Administration Assistant position within our Critical Care department at The William Harvey Hospital in Ashford, Kent. You will work closely with the Ward Managers and the Senior Divisional Administrator, assisting with various administration duties with a priority on Excel Worksheets. Ensuring confidentiality is maintained. This will help the Ward Managers on a daily basis to ensure the smooth running of the Critical Care Unit. There will also be minute taking included in the role. This role is dynamic and will continue to develop.
Main Duties of the Job
1. Assist with day to day administration duties for a smooth running of the Critical Care Unit.
2. General Administrator duties
3. Reviewing safe staffing numbers and ensuring Healthroster is up to date
4. Using NHSP to book shifts
5. Liaising with the department regarding vacant shifts
6. Working closely with the Ward Manager team
7. Assist with input of audit information
8. Record and maintain staff sickness records
9. Annual leave monitoring
10. Maintenance of Excel reports and charts
11. Booking transport for patients and staff
12. Raising requisitions within Business World
13. Raising BSL interpreter bookings

Person Specification
Qualifications Essential
* Computer literate, including extensive knowledge of Word and Excel
* NVQ Level 2, RSA level 3 or equivalent
* GCSE Maths and English Grade 4 or above or equivalent
Skills Essential
* Ability to communicate clearly, both written and verbally in a professional manner.
* Excellent communication and interpersonal skills showing empathy and diplomacy.
* In-depth knowledge of Excel
* Work well within a team
* Ability to multi-task.
* Ability to prioritise and organise own workload to meet set deadlines.
* Ability to remain calm in a busy environment whilst working under pressure
* Data entry, text processing, storage of data, numeracy, accuracy and attention to detail
* Ability to undertake surveys and audits as necessary to own work
* Good interpersonal skills, e.g., interact with colleagues and clients courteously
* Excellent IT skills
