We are looking for a detail-oriented individual to provide administrative support across FM projects and small works, assisting Project Managers, Supervisors, and Commercial Coordinators. This role is office based at our Head Office in Uddingston.
What You’ll Be Doing
1. Provide general admin support, including invoicing, commercial record-keeping, and project updates.
2. Manage WIP, debt, supplier/subcontractor invoices, and resolve queries.
3. Maintain internal/external project schedules and ensure client SLA compliance.
4. Assist with the creation and upload of O&M manuals to client portals.
5. Collate and update required project documentation in client systems.
6. Raise sub-contract orders, onboard suppliers, and update contracts/sites in our CAFM system.
7. Order materials and equipment for project delivery.
8. Process site supervisor reports, timesheets, and expenses.
9. Maintain accurate records of contract work and site operative documents.
What We’re Looking For
1. Prior administrative experience in a similar role ideally within facilities management or project support.
2. Strong organisational and multitasking skills.
3. Effective communication and team collaboration.
4. Familiarity with CAFM systems a plus.
