JOB SUMMARY Under the direction and guidance of the Logistics Director and team, the Shipping Clerk is responsible for gathering and shipping material in compliance with customer’s requirements and in accordance with domestic and international shipping standards ESSENTIAL DUTIES AND RESPONSIBILITIES Shipping Co-Ordinator duties and responsibilities include but are not limited to: Creating formal packing lists for domestic and international shipments. Completing import document coordination and tracking with accounting, purchasing, and customers as needed. Securing truck, air and ocean freight quotations for domestic and international shipments. Routing international export/import shipments including detailed customer communications. Preparing international export shipping documents including commercial invoices, NAFTA forms, and certificates of origin ensuring accuracy, neatness, and conformance to policies and procedures; distribute to appropriate internal customers. Securing customer approval for export documentation. Maintain on time deliveries to customers Obtaining freight quotes for sales/customers. Maintaining and updating internal schedules. Verifying and approving freight and customs invoices. Verifying commercial invoicing coincides with contract requirements. Troubleshooting international shipment issues as needed. Retaining detailed and accurate documentation for domestic and international shipping. Communicating shipping issues and resolutions with appropriate internal or external customers. Inventory Cycle Counts. Assisting in warehouse where necessary. SAP Business One job duties as required and assigned. Build and maintain working relationships with distribution. Performing other related duties as required and assigned. QUALIFICATION AND SKILLS High School diploma or GED.(GCSE / A Level or equivalent) Minimum three year related experience Ability to travel on an as needed basis – domestically or internationally up to 25% of the time, in office and industrial plant environments. Establish and maintain effective working relationships with co-workers, customers, and vendors. Respond to requests and inquiries from internal and external customers. Understand and follow oral and written instructions. Communicate clearly and concisely, both orally and in writing. Operate a variety of office machines, including but not limited to copiers and fax machine. Ability to work independently on assigned tasks; as well as, to accept direction on given assignments. Possess advanced expertise in MS Office reporting tools (Excel, Power BI) and a strong understanding of computers and applications, including internet usage, Adobe Acrobat, and Microsoft Office. Knowledge of international shipping documents rules and regulations. Understanding of Ocean Cargo insurance. Basic understanding of Incoterms 2000 and 2010. Understand and carry out technical instructions. Strong written and verbal communication skills.
