To be responsible for the day-to-day management and operation of the Phlebotomy staff. To provide & control an efficient service, ensuring that appropriate staffing levels & professional standards are maintained at all times within the team. To be responsible for liaising and communicating in a timely & effective manner with all Phlebotomy staff as well as other internal & external users of department services. To be responsible for identifying and resolving issues & errors within Phlebotomy including initially dealing with routine disciplinary matters or any issues arising with other staff members and as appropriate supporting the Phlebotomy Manager to resolve issues or errors that arise. To participate in the monitoring of change & implement any improvement to develop service needs. To maintain & be responsible for the following staffing areas in accordance with Department & iPP Policies & Procedures to ensure Quality standards are adhered to, including documentation: Complete and monitor sickness absence and conduct return to work interviews, assisting Phlebotomy manager with absence management Appraisals, performance, personal objectives and development reviews Training & Mentoring Mandatory training and other appropriate courses Provide constructive feedback regarding performance Provide support and advice for the development of individuals and teams To be responsible for ensuring all staff including casual staff & trainees are trained appropriately & training records (competencies) are maintained, ensuring that correct PPE in line with iPP guidelines is worn at all times. To update, identify & implement any development needs, organising team resources to successfully achieve goals & objectives To ensure effective and timely communication to all staff on all aspects of the department, including team briefs, and to ensure any such communication is relevant, current & documented. All notices & documents must be produced within document control guidelines. To be responsible for authorising annual leave for staff ensuring the area is adequately staffed at all times. Ensuring all staff annual leave is current taking into account length of service & contract changes. Authorise annual leave and overtime where applicable and record in the annual leave diary To be responsible for compiling the weekly, evening, weekend & Bank Holiday duty rotas on a four-weekly basis, allocate staff to shifts and to ensure service needs are met at all times and to inform Phlebotomy Services Manager at the earliest opportunity if any shifts are not covered. This information has to be forwarded to the Phlebotomy Services Manager no later than 2nd of each month. To be responsible for the entry & retrieval of data relating to own area and providing any data requests in an appropriate format including error logging & incident reporting. Compiling workload & error log statistics in spreadsheets to highlight any Quality or training issues. To maintain & modify the following Health & Safety documentation in accordance with UKAS (ISO 15189 standards), Department & iPP Policies & Procedures keeping up to date records on Q Pulse: Standard Operating Procedures Management Procedures Clinical Procedures Risk Assessments COSHH Assessments DSE Assessments Departmental & Cross Department Audits Weekly, Monthly & Quarterly Safety Tours of all Phlebotomy Clinics To support the Phlebotomy Manager & Quality Manager in the investigation of any incidents, complaints etc. The post holder will actively participate in Internal Audit of the Phlebotomy Service Department and will report on non-compliances to the Phlebotomy Manager & Quality Manager and resolve any observation & non-compliances within own area. The post holder will be responsible for accessing the Q Pulse database and entering and monitoring information on the internal audits. To resolve any Safety and Security and Quality matters and attend Pathology departmental meetings as and when required. To be able to act as the quality lead for the Phlebotomy Department and attend meetings as required. To collect KPI data (such as waiting times) and report this via the Phlebotomy Dashboard. To be responsible for compiling and maintaining the emergency contact numbers, addresses & next of kin details for Phlebotomy staff. To ensure the Phlebotomy Manager is kept appraised of issues and difficulties promptly so action can be agreed and acted upon. To liaise with the Phlebotomy Manager and other Pathology staff when appropriate to improve the efficiency and meet the needs of the service. To liaise with the Pathology Ordering Clerk to source & negotiate costs of supplies of essential commodities within Phlebotomy. Be responsible for undertaking weekly stock takes and liaising with the Pathology Porter for ordering of supplies. To be responsible for monitoring equipment & working area of the section and taking any appropriate actions such as reporting any faults to the appropriate person To highlight any staffing requirements to Phlebotomy Manager & once approved to arrange advertisements, short listing, taster sessions & interviews. Assist the Phlebotomy Manager to conduct interviews & recruit successful applicants. Assist HR to ensure that relevant documentation is completed. To effectively induct new staff in accordance with the iPP induction programme. To liaise with Consultants, wards & GP surgeries to keep patient information up to date & amending Patient information leaflets as required in line with iPP Policy To meet the Phlebotomy Manager on a weekly basis to review & give feedback on the progress of the team Maintain own competencies to be able to participate fully in the routine work of the department. To ensure patient confidentiality is adhered to at all times. Ensure standards of cleanliness, waste disposal are compiled with in line with iPP policies. Maintain up to date records of housekeeping. To supervise the cleaning & disinfecting of the Phlebotomy clinics and equipment ensure records are kept updated. To undertake any training, courses etc. as deemed appropriate To perform any additional duties consistent with the grade and description of the post as may be required.
