Job Title: Corporate Events Executive
Location: Hersham, London (Hybrid)
Department: Operations - Corporate Events
Salary: £24,000 - £28,000 depending on experience

Role Overview:
The Corporate Events Executive will support the planning, coordination, and execution of a variety of corporate events, with a focus on running and endurance activities such as 5K and 10K races. This role emphasises operational efficiency and the creation of exceptional experiences for both participants and stakeholders. A hands-on approach to event management is essential, along with strong organisational skills, meticulous attention to detail, and the ability to manage multiple projects concurrently. These qualities will ensure the seamless execution of events that align with the company’s objectives.
Key Responsibilities:
Event Planning & Coordination:
* Assist in the process of organising corporate events, including venue selection, event design, course layout, event village setup, and staffing arrangements.
* Plan, manage, and execute running events, ensuring seamless logistics for course operations.
* Lead pre-event and event-day operations, ensuring efficient setup, execution, and breakdown.
* Recruit, train, and manage event-day marshals and staff to ensure effective event delivery.
* Manage the procurement, transportation, and deployment of event equipment.
* Serve as the point of contact for key stakeholders during events, ensuring a smooth and successful experience.
* Develop and manage detailed event timelines, ensuring that each phase of planning and execution adheres to established schedules.
* Collaborate with internal teams (marketing, sales, HR, etc.) and external vendors (venues, suppliers, etc.) to ensure flawless event execution.
Budget Management:
* Oversee event budgets, ensuring all activities are carried out within allocated financial parameters.
* Negotiate with vendors to secure competitive pricing and manage contracts to optimise cost efficiency.
Post-Event Evaluation & Reporting:
* Conduct post-event evaluations by gathering feedback from attendees and stakeholders to assess overall success and areas for improvement.
* Provide comprehensive post-event reports, including recommendations for enhancing future events.
Relationship Management:
* Cultivate and maintain strong relationships with vendors, stakeholders, and venues to ensure dependable and long-term partnerships.
* Represent the company professionally during interactions with clients, attendees, and event partners.
Qualifications and Experience:
* Education:
* A bachelor’s degree in Event Management, Marketing, Hospitality, or a related field (preferred).
* Experience:
* Minimum of 2 years’ experience in corporate event planning or related roles.
* Proven experience managing a variety of corporate events, such as endurance events, or conferences.
* Skills:
* Strong project management skills with the ability to handle multiple events simultaneously.
* Excellent communication and interpersonal skills.
* Creative mindset with attention to detail and a passion for delivering exceptional experiences.
* Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and event management software, e.g. Asana, Slack
* Driving License:
* Full, and comfortable driving event vehicles, including vans

* Strong organisational skills and the ability to prioritise tasks effectively.
* Self-motivated, proactive, and capable of working independently.
* Ability to remain calm under pressure and solve problems quickly and efficiently.
* Excellent interpersonal skills and an ability to interact with all levels of staff and external contacts.
Working Conditions:
* Full-time, Hybrid position with evening or weekend work depending on event schedules. Set office days and work from home
* Travel will be required for events held outside the local area.
* Flexibility is key as event requirements may change quickly.
