Position Overview We are seeking a proactive and highly organised Executive Assistant (EA) to support the CEO of a fast-growing care company and a developing software company. This role goes beyond traditional administrative tasks, requiring a candidate who can help drive accountability across the leadership team and ensure that strategic goals and initiatives are implemented effectively. In addition to managing executive tasks, the EA will play a pivotal role in coordinating projects and follow-through across the CEOs ventures, including acquisitions, organic growth initiatives, and other entrepreneurial pursuits. Executive Support to the CEO Provide high-level support, including calendar management, scheduling meetings, organizing travel, and preparing presentations. Anticipate the needs of the CEO, ensuring that he is fully briefed and prepared for all engagements. Draft and review communications on behalf of the CEO, maintaining high standards for professionalism and accuracy. Liaising with Legal, Commercial, Conveyance teams. Proof reading Contracts and Commercial Plans. 2. Accountability & Project Coordination Serve as the right hand to the CEO by holding department heads and project teams accountable for their responsibilities across the care company and software company. Track progress on strategic projects and deliverables, following up with team members to ensure milestones and deadlines are met. Develop and maintain project timelines and status reports, providing regular updates to the CEO. 3. Support for Business Growth Initiatives Assist in managing the CEOs involvement in strategic growth plans for the care company, including acquisitions and integration efforts. Coordinate with stakeholders to gather information and prepare reports on potential growth opportunities, market research, and acquisition targets. Facilitate communication and coordination between the CEO and external partners, investors, and acquisition teams. Working closely with Operations, Sales & Marketing and Care Operators to maintain updated and aligned. 4. Start-Up and Commercialisation of Software Company Provide administrative and project management support for the development and commercial roll-out of the software company. Oversee scheduling, logistics, and communications with software team members and external partners. Help establish systems, processes, and communication structures to support a scalable business model. 5. Management of CEOs Broader Ventures Assist with the CEOs additional business interests and entrepreneurial ventures, ensuring that all aspects are well-organized and prioritized. Manage files, contacts, and tasks related to each venture, keeping the CEO informed of key developments and timelines. Coordinate with partners, Legal teams, clients, and stakeholders involved in these projects, fostering strong relationships and clear communication. Travel Arrangements: Organise domestic and international travel arrangements, including booking flights, accommodations, and ground transportation. Manage visa and passport requirements. Qualifications Required: 5 years of experience as an Executive Assistant or Chief of Staff to senior leadership, preferably within high-growth or entrepreneurial environments. Demonstrated ability to hold teams accountable and manage multiple, complex projects with competing priorities. Strong verbal and written communication skills, with the ability to draft clear and concise reports and presentations. Proficiency in project management tools (e.g., Asana, Monday.com) and Microsoft Office Suite. Preferred: Experience in the healthcare or software industries. Background in supporting leadership in start-up or scaling environments. Familiarity with growth initiatives such as mergers, acquisitions, or product commercialisation.
