Our client is a small successful business looking for an organised and proactive Customer Service Administrator to manage communication between clients and our engineering team and to support daily office operations.
Key Responsibilities of a Customer Service Administrator
1. Act as the point of contact between external clients and engineers.
2. Answer and direct phone calls.
3. Organise and schedule planned maintenance and call out services.
4. Write/respond to emails.
5. Read engineers' reports and convert them to invoices.
6. Create quotes.
7. Order materials and stock.
8. Develop and maintain a filing system.
9. Research new deals and suppliers and maintain contact lists.
10. Chase clients' outstanding invoices.
11. Bookkeeping/reconcile payments.
Key Competencies of a Customer Service Administrator
1. Proven experience in admin, ideally in a similar role.
2. Knowledge of office management systems such as SharePoint, Outlook, etc.
3. Proficiency in MS Office (MS Excel in particular).
4. Excellent time management skills and the ability to prioritise work.
5. Attention to detail and problem-solving skills.
6. Excellent written and verbal communication skills.
7. Strong organizational skills with the ability to multi-task.
8. Knowledge of systems such as Xero, Hubdoc, and simPRO would be a strong advantage.
