Job Summary
We are looking for an enthusiastic, diligent individual who can support our fast-paced adventure business. Someone who naturally enjoys putting together their own detailed holiday/travel/activity plans and is also passionate about learning about/researching various geographical locations would hold a real advantage in supporting our technical operations team. We are a very hands-on, practical team; therefore, at times you will be expected to undertake tasks within our workshop and within our event equipment area. For the right candidate, during the Spring and Summer months, this role will include supporting Event Managers by attending events across the UK, and potentially overseas.
Adventure Cafe has been in business for 20 years designing and delivering exciting cycling, trekking, and multi-activity challenge events in stunning, breathtaking parts of Europe, the UK, and beyond. The successful applicant will have previous experience supporting a team in their administrative functions with a real attention to detail and timescales. The ability to multi-task on a broad range of projects and an interest in promoting our adventurous business is desirable. An interest in the great outdoors, either with cycling or hiking or simply challenging themselves in new ways is a bonus.
The successful candidate will play an integral part of the team providing key administration support such as booking key components for events, submitting event applications, notifications, and permissions, whilst contributing towards marketing and social media and supporting client communications using a variety of mediums. For our large-scale events, there may be the possibility to get hands-on through managing venues and registration desks on event days.
As you will often be the first point of contact when picking up the phone in the office, it is essential to have a friendly and engaging manner, showing real interest in our client’s event ideas. Please note this is predominantly an office-based role where most of your time will be spent arranging and organising logistics using our in-house systems. As we are growing, these systems are evolving and developing all the time. It is likely in your first year there will be some key projects to help us develop and improve the quality of our information management.
This role would suit an individual who is driven, practical, and can follow multiple instructions, taking on a variety of different administrative projects to oversee. The successful candidate should be able to retain knowledge of a broad range of information that can be clearly communicated to the team through detailed spreadsheets and online systems.
Key Responsibilities
Events Coordinator Tasks:
1. Managing registration forms, including chasing up missing information and adding and managing participants in our database.
2. Updating participant and rooming lists for every hotel booking using registration forms and incoming data from charity and corporate reps.
3. Chasing clients for missing information and responding to single room supplements and bike hire enquiries.
4. Researching and booking restaurants and liaising with key contacts regarding allergies and dietary requirements and final numbers.
5. Booking flights, ferries, Eurotunnel, Eurostar tickets and managing bookings, paying close attention to free cancellation and payment dates.
6. Completing Advance Passenger Information for leader’s travel.
7. Communicating with leaders regarding events.
8. Compiling and distributing participant event documentation such as writing up final joining instructions.
9. Compiling final event folder with all paperwork.
10. Completing event application forms for councils, boroughs, Forestry Commission and private land use; Completing Police Notifications for city-based events.
11. Management of event stock, including first aid supplies.
General Office Duties:
1. Answering the phone and helping with enquiries, transferring calls and recording and passing on messages.
2. Engaging in social media to showcase our events. Using event photos and leader notes post-event to update stories.
3. Keeping our information drive clean and consistent by arranging and tidying up folders effectively.
4. Filling event reviews, customer feedback forms and assigning resulting actions.
Person Specification
Essential:
1. A passion for activities in the great outdoors (trekking, cycling, water sports, etc).
2. IT literate (Excel, Outlook, PowerPoint) with excellent written and verbal communication skills.
3. Significant attention to detail and timescales. Ability to work accurately under pressure.
4. Ability to grasp numbers and figures quickly, such as calculations for event costs.
5. Ability to multitask on a broad range of administrative functions to support a team.
6. Effective organisational skills and ability to manage own time and prioritise workload.
7. Flexible and adaptable. Due to the nature of events, requirements can change quickly and a willingness to accept and embrace these changes is essential.
8. Experience of dealing with clients with a friendly, interested, and supportive approach.
9. An outgoing and engaging personality.
10. To take instruction within team meetings and follow up actions efficiently.
Desirable:
1. Experience of working in the events, adventure travel or tourism industry.
2. Outdoor Activity Qualifications – Mountain Leader, Cycling, etc.
3. Bicycle mechanic knowledge/skills.
4. First Aid qualified.
5. A passion for travelling.
6. Experience working with corporate and charity clients.
7. A good understanding of the importance of health and safety.
8. A desire to challenge oneself.
